POSITION SUMMARY

The Receptionist/Office Coordinator is customer-focused and will serve as the face of our organization while ensuring the smooth day-to-day operation of our office facilities. This position is responsible for managing front office operations, coordinating administrative and facility-related functions, supporting employees and visitors, and providing administrative support to the CEO.

This role functions in a fast-paced environment, takes initiative, enjoys solving problems, and can effectively manage multiple priorities while maintaining exceptional customer service.


ESSENTIAL RESPONSIBILITIES

Reception & Customer Service

  • Serve as the first point of contact for visitors, customers, vendors, and training attendees. 
  • Answer and direct incoming telephone calls through the main operator line. 
  • Welcome guests and ensure professional, friendly reception experience. 
  • Receive and process customer sample submissions. 
  • Maintain a clean, organized, and professional reception and lobby area. 
  • Manage visitor sign-in procedures as applicable. 

Office Administration

  • Order and maintain office supplies and general office inventory. 
  • Stock and replenish kitchen, break room, restroom, and lobby supplies. 
  • Maintain beverage inventory for lobby and employee break areas. 
  • Coordinate employee swag inventory and ordering. 
  • Update and maintain the company employee directory. 
  • Manage front entrance signage, including temporary notices and holiday hours. 
  • Coordinate incoming and outgoing mail, shipping, and package distribution. 
  • Maintain, order, and organize office equipment and supply areas. 

Facilities Coordination

Serve as the primary internal coordinator for office facilities, including:

  • Elevator maintenance coordination 
  • Parking lot maintenance 
  • Exterior building maintenance 
  • Janitorial service coordination 
  • Alarm system administration 
  • Office keys and key fob management 
  • First aid kit inspections and restocking 
  • Coordination of repairs with vendors and Dave Gasper
  • Monitoring general office appearance and functionality 

Technology & Equipment Coordination

  • Serve as the primary internal point of contact for IT support requests. 
  • Coordinate service calls and communicate with outside IT vendors. 
  • Assist with office equipment issues (copiers, printers, conference room equipment, etc.). 
  • Maintain video content displayed on the lobby monitor. 
  • Coordinate company mobile phone orders, upgrades, inventory, and cellular service plans. 

Vendor & Administrative Management

  • Maintain relationships with office vendors and service providers. 
  • Coordinate utility-related issues and review utility invoices for accuracy. 
  • Schedule routine maintenance and service appointments. 
  • Track vendor contacts and service agreements. 

Executive Support

Provide administrative support to the CEO, including:

  • Calendar management as assigned 
  • Scheduling meetings 
  • Preparing correspondence and documents 
  • Coordinating travel arrangements when needed 
  • Assisting with special projects 
  • Maintaining confidential information with professionalism and discretion 

Additional Responsibilities

  • Assist with company events and employee activities. 
  • Support onboarding logistics for new employees as assigned. 
  • Recommend improvements to office operations and administrative processes. 
  • Perform additional administrative duties as assigned. 


Requirements:

QUALIFICATIONS

Education

  • Associate's degree preferred. 
  • High school diploma or equivalent required. 

Experience

  • 3–5 years of administrative, office management, receptionist, or office coordinator experience preferred. 
  • Experience supporting senior leadership is highly desirable. 
  • Experience coordinating vendors or facilities is a plus.

Physical Demands & Work Environment


This position is primarily performed in a professional office environment and requires regular interaction with employees, customers, visitors, vendors, and service providers. The employee must be able to:

  • Remain in a stationary position, sitting or standing, for extended periods of time.
  • Frequently communicate in person, by telephone, and electronically with employees, customers, visitors, vendors, and members of leadership.
  • Regularly move throughout the office and facility to coordinate office operations, receive deliveries, stock supplies, assist visitors, and address facility-related needs.
  • Operate standard office equipment, including computers, telephones, printers, copiers, and other office technology.
  • Frequently use a computer and keyboard and review information on computer screens and printed documents.
  • Occasionally bend, reach, stoop, or crouch when organizing supplies, stocking office areas, or performing other office-related activities.
  • Occasionally lift, carry, push, or move office supplies, packages, and other materials weighing up to 25 pounds.
  • Ability to communicate in English on the phone and in-person (Spanish is a plus)
  • Maintain the ability to perform work requiring attention to detail while managing frequent interruptions and multiple priorities.
