JOB DESCRIPTION
  • The client Plastic & Reconstructive Surgery (PRS) Platform team, based in Warwick, RI, is seeking a Temporary Administrative Professional to serve as the operational backbone for our regional tradeshow presence.
  • This role owns end-to-end management of all PRS sales materials, non-sterile samples and tradeshow booth kits, ensuring client shows up to every meeting, congress, and event flawlessly prepared.
  • This is an ideal role for a highly organized, proactive, resourceful administrative professional who loves ownership, problem-solving, and being trusted with real responsibility.
  • You won't just support the team-you will run a critical function that enables commercial success, field engagement, and brand excellence.
  • This role reports to the Associate Director, Global Marketing, and works closely with Marketing, Sales, Professional Education, and external vendors.

Essential Functions & Responsibilities
  • Tradeshow & Booth Kit Ownership (Primary Focus)
  • You will be the single point of ownership for PRS tradeshow logistics, responsible for the full lifecycle of booth kits and materials, including:
  • Creating, organizing, labeling, and maintaining all PRS tradeshow booth kits
  • Ordering, assembling, resetting, and replenishing booth kits after each event
  • Coordinating and communicating shipping, tracking, delivery timelines, and return logistics
  • Ensuring booths are fully conference-ready: correct assets, condition, quantities, and branding
  • Maintaining inventory accuracy and storage organization
  • Proactively identifying gaps, risks, or improvements and fixing them before they become issues
  • This role ensures client PRS always shows up prepared, professional, and on brand.

Marketing & Commercial Administrative Support
Under the guidance of the Global Marketing team, you will also:
  • Support execution of PRS marketing programs and commercial activities aligned with the Global Platform Communications Strategy
  • Organize, store, and distribute marketing collateral and non-sterile samples
  • Assist with meeting planning, vendor coordination, quote collection, and PO requests
  • Support Professional Education events and field engagement initiatives
  • Help coordinate materials for conferences, regional meetings, and sales programs
  • Support quarterly business reviews and internal marketing initiatives as needed

What Makes This Role Great
  • Real ownership - you own a critical operational function
  • Visibility & trust - your work directly impacts field teams and brand perception
  • Fast-paced, hands-on environment - perfect for someone who likes to stay busy and solve problems
  • Highly collaborative - work with marketing, sales, education, and external partners
  • Pride in execution - when events run smoothly, it's because of you

This is not a passive administrative role - it's for someone who likes to run things, improve systems, and take pride in operational excellence.
Ideal Candidate Profile
  • Exemplary communication and follow-through skills
  • Highly organized, detail-oriented, and dependable
  • Comfortable managing multiple moving parts and deadlines
  • Resourceful, proactive, and solutions-focused
  • Self-motivated, ability to work independently
  • Enjoys logistics, inventory management, and hands-on coordination
  • Takes pride in making things run smoothly behind the scenes
