Executive Assistant - Critical Access Hospital Administration

WHSN is seeking a highly organized and proactive Executive Assistant to support two senior leaders at a respected Critical Access Hospital located in the beautiful Snoqualmie Valley region, just outside of Seattle and near Bellevue.

This position is primarily on-site, although occasional remote workdays may be considered.
Position Details
- Schedule: Monday-Friday
- Hours: 8:00 AM - 4:30 PM
- Guaranteed Hours: 40 hours per week
- Assignment Length: 13 weeks
- Expected Start: Mid-June
- Pay Range: $40-$44/hour depending on tax-free stipend eligibility
- Potential: Temp-to-perm opportunity available
Responsibilities
- Manage complex executive calendars, scheduling meetings, coordinating travel, and anticipating leadership needs to keep priorities moving forward efficiently.
- Prepare meeting agendas, coordinate materials, record minutes, and track action items during executive and leadership meetings.
- Draft professional correspondence, reports, presentations, and other executive-level communications with exceptional accuracy and attention to detail.
- Serve as a trusted liaison between senior leadership, internal departments, external partners, and community stakeholders.
- Complete monthly credit card reconciliations and expense reimbursements.
- Support executive initiatives and strategic projects, helping ensure milestones and deliverables are met on schedule.
- Maintain organized systems for files, contracts, records, and confidential documentation.
- Provide high-level administrative and operational support in a dynamic healthcare environment.
Qualifications
- Advanced proficiency in Microsoft Office Suite including Excel, Teams, Word, PowerPoint, and Outlook.
- Experience using AI tools for drafting, summarization, workflow optimization, and administrative efficiency strongly preferred.
- Exceptional organizational and project management skills with the ability to manage competing priorities and execute independently with minimal oversight.
- Strong written and verbal communication skills, including experience preparing clear, concise, and actionable meeting minutes.
- Demonstrated professionalism, discretion, and sound judgment handling confidential and sensitive information.
- Self-directed and proactive work style with strong problem-solving abilities and initiative.
- Ability to interact effectively and professionally with executives, clinicians, board members, and community leaders.
- Skilled at managing up, down, and across teams with clarity, diplomacy, and confidence.
