Job description

Administrative Assistant – Temporary Staffing Pool

Salary: Minimum of $16.00 per hour but may vary based on experience and/or specialized needs of assigned area

Location: Department based

Position Status: Full-time (35 hours) temporary and Part-time temporary positions

Hours: Varied

FLSA Status: Non-exempt

Position Summary:

The Administrative Assistant assists with department based administrative needs. This person should be dedicated to creating a positive and welcoming environment for all students, parents, staff and faculty who may need assistance. The length of the temporary assignment may vary based on the assigned department's needs (i.e. one week to several weeks or months based on operational need).

Duties and Responsibilities:
  • Manages the departments' response to calls, emails, visitors and mail.
  • Answers letters and general correspondence; working from rough drafts, verbal instructions or established procedures.
  • Acts in a liaison capacity for the administrator and department.
  • Responds to and/or refers customer needs as appropriate.
  • Attends departmental meetings and University functions as required.
  • Assumes any additional duties and responsibilities that may be assigned by the direct supervisor based on the area's needs.
Requirements:

Minimum qualifications:

  • High School Diploma or GED.
  • Minimum of 1-3 years of work-related experience.
  • Thorough working knowledge of calendaring via Outlook, all programs of the Microsoft Office suite (including Microsoft Word, Excel, and PowerPoint), Zoom, as well as a willingness to learn new software systems relevant to the position.

Preferred qualifications:

  • Associate's degree and/or prior experience in higher education support work is preferred.
  • Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
    • Ability to communicate effectively, both orally and in writing.
    • Ability to display a professional demeanor at all times.
    • Ability to maintain confidentiality.
    • Ability to use sound judgment in making independent decisions.
    • Sensitivity to the need of each individual to be treated with dignity and respect as it relates to diversity in general and the Mission of the University specifically.
    • Ability to establish and maintain effective working relationships with the University Community.
    • Ability and willingness to contribute actively to the mission of the University and to respect the Spiritan Catholic identity of Duquesne University.
