Primary Duties & Responsibilities
  • Travel Coordination & Documentation
    • Arrange travel logistics for the Academy team, including lodging, flight options, and ground transportation, and meeting itineraries.
    • Prepare and route University Travel Authorization forms and complete post-travel expense reimbursement requests within university timelines.
  • Meeting & Calendar Coordination
    • Manage and maintain administrators' schedules, anticipate conflicts, and prepare for key meetings with agendas, materials, and follow-up action items.
    • Gather agenda items, record detailed meeting minutes, track internal action items, and follow up with team members to ensure operational continuity.


  • Event & Logistics Support
    • Provide comprehensive logistical assistance for academy events, including reserving campus venues, coordinating third-party catering vendors, and arranging guest parking permits.
    • Manage event invitations, track RSVPs, maintain accurate guest databases, and handle post-event follow-up documentation and thank-you notes.


  • Office Operations & Supply Procurement
    • Oversee office management, coordinating facility maintenance requests and space organization.
    • Act as the primary initiator for routine supply procurement, utilizing NC State MarketPlace to purchase office materials, event consumables, and media technology equipment.
    • Manage the collection, scanning, and digital archiving of all itemized receipts to assist the Program Manager with monthly Purchasing Card (PCard) reconciliation.


  • Other Duties as Assigned
    • Provide ad-hoc administrative support for academy initiatives as required by leadership.



Minimum Experience/Education
High school diploma or equivalency and one year of administrative or clerical experience; or an equivalent combination of training and experience.

  • Proactive problem-solving abilities
