Job Title: Medical Office Assistant

Job Description

The Medical Office Assistant supports a busy dermatology practice by providing front and back office support, including answering phones, scheduling appointments, obtaining prior authorizations, and rooming patients. This role focuses on delivering excellent customer service while accurately managing patient information and supporting clinical and administrative workflows.

Responsibilities

  • Answer incoming phone calls promptly and professionally, and direct calls or messages to the appropriate staff.
  • Schedule, reschedule, and confirm patient appointments, ensuring accurate entry of details into the practice management system.
  • Coordinate and process prior authorizations for procedures, medications, and services, following established guidelines.
  • Room patients efficiently by verifying patient identity, updating basic information, and preparing exam rooms as needed.
  • Accurately enter and update patient information, including demographics, insurance details, and clinical notes, in the electronic medical record (EMR).
  • Provide courteous and helpful customer service to patients in person and over the phone, addressing questions and concerns within scope.
  • Perform general clerical duties such as filing, scanning, copying, and handling mail to support daily office operations.
  • Verify insurance information and assist with insurance-related inquiries to help ensure smooth billing and coverage processes.
  • Collaborate with clinical and administrative staff to maintain an organized, efficient, and patient-centered dermatology office.
  • Follow office policies and procedures, maintain patient confidentiality, and adhere to all relevant privacy and security regulations.

Essential Skills

  • Previous medical office experience, preferably in a clinical or outpatient setting.
  • Strong customer service skills with the ability to communicate clearly and professionally with patients and staff.

Job Type & Location

This is a Contract to Hire position based out of Madison, CT.

Pay and Benefits

The pay range for this position is $18.00 - $23.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
