Description

This on-site position is located in Wilmington, Delaware. Catholic Cemeteries of the Diocese of Wilmington is seeking a temporary full-time Office Coordinator who will be responsible for the efficiency of all front office operations at All Saints Cemetery, while presenting an image that reflects the unique spiritual and pastoral nature of the Catholic Cemetery ministry. This position reports to the Superintendent and consults with the Executive Director and the Finance Manager as needed. Works collaboratively with: Foremen, Family Service Representatives and the Office Coordinators in other locations.


This is a temporary full-time position with an expected term of approximately four months. The schedule for this temporary full-time position is Monday through Friday, 8:30 am - 4:00 pm, but may occasionally require days or times outside the normal work schedule. 


Essential Functions:

  • Accept interment/entombment orders, inquiries, and requests for services, both over the phone and in person at the cemetery office.
  • Enter into the database all information related to purchases, interments/entombments, memorialization, lettering, and requests for service, decoration programs and the memorial candle program.  
  • Process invoices, receipts, Certificate of Burial Rights. Maintain lot cards and folders.
  • Process orders for memorials, interments, entombments, lettering, and requests for service. Manage decoration programs and memorial candle programs.
  • Prepare and record bank deposits, monitor accounts receivable, record accounts payable.
  • Prepare confidential correspondence and maintain filing.


Requirements

Minimum Qualifications:

  • Associates degree and three years of customer-facing office experience; or equivalent combination of education and experience.
  • Proficiency with Microsoft Office/365; including Excel and Word, and email applications.
  • Database entry experience.
  • General bookkeeping knowledge.
  • The ability to interact with people under extenuating circumstances.
  • Self-motivated professional with demonstrated sound judgment, initiative, and problem-solving ability.
  • Excellent written and verbal communication skills. 
  • Ability to multitask, establish priorities and complete job responsibilities with minimal supervision.  
  • Ability to maintain confidentiality.
  • Ability to build trust and rapport with individuals from diverse cultural, socio-economic, and ethnic backgrounds.
  • Willingness to consent to a satisfactory criminal background check and drug screening in accordance with applicable laws.
  • Commitment to the mission and values of the Catholic Diocese of Wilmington.
