Northwestern University is seeking a temporary full-time Administrative Assistant for the Evanston campus.
Temporary Job Description:

An external facing role providing a variety of clerical & administrative support which may include drafting & typing letters, summaries, meeting notes, charts, graphs, etc. using word processing, spreadsheet, database, &/or presentation software; managing calendars and related scheduling for the leadership team; managing conference rooms, dept kitchenette and maintaining copier and office supplies inventory; electronic and physical filing; preparing documents for distribution; basic bookkeeping and reconciliation of payments; screening and directing calls & visitors; managing mail and delivery distribution; preparing agendas & making arrangements including catering and or traveling, etc. for meetings & special events.

This requires a 100% on-site presence. Remote work is at the department's discretion.

Duties and Responsibilities:

  • Manages calendars and scheduling for the Facilities leadership team
  • Manages the office, including conference rooms, dept kitchenette, copier and office inventory
  • Coordinates events which may include scheduling rooms &/or guest speakers & arranging for routine materials, technology & catering, coordinates registration & travel
  • Accounting: processing payments and reconciling charges
  • Manages the distribution of mail and packages
  • Meets & directs visitors, answers phones in a professional matter, providing information and directing as appropriate
  • Prepares and distributes letters, summaries, meeting notes, charts, graphs, etc. using word processing, spreadsheet, database, &/or presentation software
  • Coordinates work for any work study students
  • Electronic and physical filing

Minimum Qualifications Required:

  • High School Diploma or equivalent
  • Two years of administrative support experience or equivalent (in a face paced environment)
  • Intermediate knowledge of word processing, spreadsheet, email and database software programs

Preferred Qualifications:

  • Bachelor's degree or equivalent
  • Five years of administrative support experience or equivalent (in a face paced environment)
  • Advance knowledge of word processing, spreadsheet, email and database software programs with foundational AI literacy
