Temporary Shipping & Receiving Coordinator
Location: Portland, Maine
Pay: $19.00 per hour
Job Type: Temporary, Full-Time, 8 week assignment
Position Summary
We are seeking a detail-oriented and dependable Temporary Shipping & Receiving Coordinator to support daily warehouse, shipping, receiving, and inventory operations. This role is responsible for the accurate and timely shipment of products both domestically and internationally, receiving incoming materials, maintaining inventory records, assembling customer orders, and ensuring compliance with shipping and export requirements.
The ideal candidate will have prior experience with domestic and international shipping, strong organizational skills, and the ability to thrive in a fast-paced environment where accuracy and attention to detail are critical.
Key Responsibilities
  • Process and ship customer orders accurately and on time, including domestic and international shipments.
  • Prepare and maintain shipping documentation, including commercial invoices, customs forms, certificates of origin, export paperwork, and carrier-required documents.
  • Provide shipping estimates and coordinate shipping costs with internal teams.
  • Track and expedite time-sensitive shipments, including those requiring customs clearance.
  • Coordinate with customers, carriers, freight forwarders, suppliers, and internal departments to ensure smooth shipping operations.
  • Receive, inspect, and distribute incoming shipments.
  • Assemble product kits and prepare orders for shipment.
  • Record inventory transactions and maintain accurate inventory records using accounting and spreadsheet systems.
  • Create and maintain product, kit, and packaging labels.
  • Monitor finished goods inventory levels and communicate replenishment needs.
  • Assist with purchasing activities and material planning as needed.
  • Maintain an organized warehouse and shipping area, ensuring materials are clearly labeled and properly stored.
  • Support additional warehouse and logistics activities as assigned.
QualificationsRequired
  • High school diploma or equivalent.
  • Previous experience in shipping and receiving, including international shipments.
  • Experience preparing shipping documentation and working with carrier platforms.
  • Strong computer skills, including Microsoft Word, Excel, email, and shipping software.
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong communication and customer service skills.
Preferred
  • Experience with export documentation, customs requirements, and international logistics.
  • Experience shipping regulated, temperature-sensitive, time-sensitive, or quality-sensitive products.
  • Familiarity with FedEx, UPS, freight forwarding processes, and inventory management systems.
Physical Requirements
  • Lift, carry, and move boxes weighing up to 50 pounds.
  • Bend, stoop, climb stairs, and perform routine warehouse activities.
  • Stand for extended periods throughout the workday.
  • Work in varying temperatures, including occasional entry into coolers and freezers.
