Indirect Procurement Assistant

Location: Oldsmar, FL (Hybrid)
Job Type: Full-Time, Non-Exempt

About the Role

We are seeking an organized and detail-oriented Indirect Procurement Assistant to support our procurement team with day-to-day purchasing, vendor communication, reporting, contract tracking, and administrative tasks. This role plays a key part in keeping procurement operations running smoothly while supporting sourcing projects and supplier programs.

What You'll Do

Procurement Support

  • Maintain purchasing and supplier records.
  • Assist with vendor onboarding and documentation.
  • Track contract renewals and support contract administration.
  • Process procurement requests through internal systems.
  • Maintain procurement files, supplier information, and contact databases.

Vendor & Sourcing Support

  • Request and compare supplier quotes.
  • Assist with bid processes and vendor evaluations.
  • Coordinate vendor outreach and follow-up communications.
  • Support RFP and RFQ preparation.
  • Research pricing and supplier information for procurement projects.

Reporting & Data Management

  • Create and maintain Excel reports and spend summaries.
  • Review, clean, and update procurement data.
  • Track supplier performance and cost-saving initiatives.
  • Assist with dashboards and reporting packages.

Supplier & Internal Support

  • Respond to routine procurement inquiries.
  • Follow up with suppliers regarding quotes, deliveries, invoices, and service concerns.
  • Support internal teams with procurement-related requests.
  • Coordinate communication related to supplier programs and services.

Program Administration

Support company programs and vendor services, including:

  • Travel program administration
  • Office supply programs
  • Uniform and safety footwear programs
  • Equipment bids and purchasing projects
  • Temporary facilities and storage projects
  • Service vendors such as pest control, fuel delivery, water delivery, cleaning services, and other operational support providers

Qualifications

Required

  • 2+ years of experience in procurement, purchasing, supply chain, administrative support, or a related role.
  • Strong Microsoft Office skills, especially Excel, Outlook, Word, and PowerPoint.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and ability to follow through on tasks.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred

  • Experience with supplier management or procurement processes.
