Job Summary
Part-Time Temporary Instructional Systems Coordinator to oversee the strategic planning, management, and maintenance of software and hardware supporting the organization's information and systems security and the design, deployment, and operation of virtual and physical instructional lab environments. This role ensures compliance with cybersecurity best practices and institutional policies; manages license compliance; collaborates with faculty to meet instructional and research needs; and leads budgeting, procurement, vendor coordination, documentation, and performance monitoring to maximize availability, security, and value.
Essential Functions
Security Strategy & Governance Procedures
  • Oversee the strategic planning, management, and maintenance of software and hardware related to information and systems security across departmental environments.
  • Ensure alignment with institutional policies, regulatory obligations, and cybersecurity best practices (configuration baselines, hardening, patching, identity/access controls, logging, and backup/restore).

Instructional Infrastructure & Virtualization
  • Manage and maintain virtual lab environments using virtualization platforms to support large-scale computing assets and cloud resources.
  • Configure, secure, and administer instructional computing infrastructure (physical and virtual), ensuring reliable, secure access for courses and research.
  • Collaborate with faculty to design, deploy, and optimize lab environments that meet pedagogical and research requirements.
  • Monitor system performance and troubleshoot technical issues across cloud, network, and hardware resources, providing timely resolutions to minimize downtime.

Asset, License & Vendor Management
  • Monitor and record software and hardware licenses to ensure compliance with vendor contracts and effective lifecycle management.
  • Oversee budgets for virtualization and related technologies; track expenditures and prepare cost analyses to support efficient resource allocation.
  • Evaluate and recommend procurement of physical hardware and software solutions, ensuring compatibility and alignment with departmental goals.
  • Coordinate with external contractors and vendors for installation, maintenance, and support of specialized equipment and services; maintain professional, tactful relationships.

Documentation, Communication & Collaboration
  • Develop and maintain documentation for system configurations, security protocols, standard operating procedures (SOPs), and research process guidelines to ensure continuity and knowledge transfer.
  • Communicate clearly with diverse stakeholders (faculty, staff, students, vendors); provide training, briefings, and guidance on lab usage, security practices, and changes.

Required Qualifications
Bachelor's degree in Computer Science, Engineering, Computer Networking, Information Systems, or a closely related field and 3 years of related work experience;
OR an Associate's degree and 5 years of related work experience.
Strong working knowledge of current IT technologies, including operating systems (Windows/Linux), networks, virtualization (Proxmox specifically), AI services/models, and cloud fundamentals and Azure administration.
Must be able to lift/move equipment and work within lab, classroom, and data center environments.
Demonstrated experience managing virtual lab environments and administering instructional computing infrastructure and enterprise hardware.
Experience monitoring and managing software/hardware license compliance with vendor contracts.
Strong communication skills, with the ability to explain complex technical matters to nontechnical audiences.
Ability to plan, organize, and manage time effectively across concurrent projects and maintenance windows.
Demonstrated ability to establish and maintain professional working relationships with individuals from various backgrounds.
Ability to deal tactfully with vendors, suppliers, and contractors who provide a broad spectrum of products and services.
Desired Qualifications
Experience with cloud services (e.g., Azure/AWS/GCP) and identity platforms (e.g., Active Directory, Entra ID/Azure AD).
Hands on experience with major virtualization platforms (e.g., VMware, HyperV, Proxmox), Containerization (e.g., Docker, Kubernetes) and infrastructure-as-code/automation (e.g., PowerShell, Ansible).
Background in budgeting, cost optimization, and capacity planning for labs and compute resources.
Experience creating and maintaining technical documentation and SOPs for academic or instructional environments.
Relevant certifications such as CompTIA Security+, Network+/Cisco CCNA, Server+, Microsoft/Azure Administrator, or VMware VCP.
Work Schedule
Days and time to be determined. 1,250 hours per year. Primarily on-site with scheduled maintenance windows that may occur during off-hours.
