About the Job summary:
This position is the first business contact at the Natural Resources Institute for welcoming and directing visitors, callers, collaborators, and employees, and ensuring a professional and responsive first impression of the Institute. We assist staff with administrative needs and monitor a secure building. The position is part of the NRRI central admin team and will be an integral member of the administrative staff assisting others with a variety of administrative duties. This position supports all NRRI staff in many different areas.
Job Duties:
Front Desk & Customer Service (60%)
  • Serve as the first point of contact for NRRI by greeting and assisting visitors, callers, collaborators, and employees.
  • Answer and manage the NRRI general phone line using a multi-line system; direct calls appropriately.
  • Respond to general inquiries and route questions to appropriate staff or departments.
  • Monitor and maintain security protocols for building access.

Administrative & Operational Support (20%)
  • Provide administrative support to NRRI staff across departments.
  • Create shipping labels and coordinate outgoing shipments.
  • Sort and distribute incoming mail.
  • Receive, record, and distribute deliveries and drop-offs.
  • Troubleshoot photocopier issues and coordinate maintenance and service calls.

Meeting & Event Coordination (15%)
  • Coordinate internal and external meetings, including room reservations and setup.
  • Arrange IT support, food and beverage services, parking accommodations, and other special requests.
  • Communicate verbally and in writing with internal staff, external guests, and vendors.
  • Manage and monitor conference room schedules and related logistics.

Other Duties (5%)
  • Perform additional administrative tasks and support duties as assigned.

Qualifications
Required Qualifications:
  • High School Diploma or GED and four (4) years of related office and/or administrative support experience. Training and/or post-secondary education may substitute for some of the required years of experience.
  • Demonstrated computer proficiency, including experience with standard office software applications (e.g., Microsoft Office Suite).
  • Experience providing customer service in a professional setting.
  • Strong written and verbal communication skills.

Preferred Qualifications:
  • Previous experience as lobby staff /receptionist
  • Previous Administrative experience with ability to handle and manage multiple tasks at the same time.

Physical/Environmental Demands:
  • Office environment / no specific or unusual physical or environmental demands.

Situated near Minnesota's minerals and forestry resource-based industries, NRRI's Coleraine Lab is a world-renowned center for minerals and biomass conversion and their connections to land, forest, and water resources. NRRI Coleraine possesses the facilities, equipment, and highly qualified staff to conduct applied research for private and public sector clients in Minnesota, North America and around the world. The lab has a wide range of equipment for conducting studies at both laboratories (grams/pounds) and pilot scales (tons). Laboratory and pilot scale capabilities include mineral characterization, mineral processing, metallurgy, and biomass conversion to energy and agronomic products.
Pay and Benefits
Pay Range: $23.41 - $24.92 per hour ; depending on education/qualifications/experience.
