Job description

We believe the Temporary Part-Time Mail Administrator possesses strong attention to detail, sound judgment, and a high level of discretion to support the organization by ensuring timely, accurate, and secure handling of incoming mail. In this temporary, part-time role, you will be responsible for onsite mail collection, scanning, and digital distribution across the organization, while supporting limited front-office administrative needs as required.
The Purpose of Your Role
You will support business continuity and operational efficiency during a temporary operational transition period by ensuring all physical mail received at the Scottsdale office is properly reviewed, scanned, and securely distributed to appropriate internal stakeholders in a timely manner. This role is intended to provide short-term coverage while headquarters operations evolve.
The Qualifications We're Looking For
  • Minimum age of 18 years
  • High school diploma or equivalent required
  • Experience working with large, corporate-grade scanning equipment
  • Strong comfort with technology and digital file handling
  • Working knowledge of Microsoft Outlook and email-based workflows
  • Ability to operate independently with minimal supervision
  • Demonstrated ability to maintain confidentiality and exercise a high level of discretion when handling sensitive or confidential information
  • Reliable transportation and ability to consistently work onsite in Scottsdale, AZ
  • Ability to commit to a temporary, part-time assignment anticipated to last approximately 2-3 months, with the potential to extend based on business needs

The Value You Deliver
Key Responsibilities and Job Duties
  • Travel to the Scottsdale office (Scottsdale Rd & McDowell) on Monday, Wednesday, and Friday between 12:00-3:00 PM
  • Check, sort, and review incoming physical mail
  • Scan mail using corporate scanning equipment and ensure digital files are clear, complete, and accurately labeled
  • Distribute scanned mail electronically to appropriate individuals or teams using Microsoft Outlook
  • Handle mail and documents containing sensitive or confidential information with discretion and care
  • Provide limited onsite support such as allowing scheduled guests into the office suite or receiving pre-arranged package deliveries
  • Maintain an organized and secure mail handling process to support compliance and operational standards

This is a temporary, part-time position expected to requireapproximately 3-6 hours per week. The assignment isanticipatedto last 2-3 months, with the possibility of extension based on business needs.
