    Position summary:

    The Preconstruction Coordinator performs administrative office work for the Pre- Construction team. Assists in the daily operations including: Maintaining project files and schedules, recording project data, planning and organizing Preconstruction events, maintain sub-contractor list, organizing meetings, assembling and updating preconstruction manual, assembling and analyzing all bidding documents including, but not limited to drawings, specifications, proposals, Owner/ Architect/ Engineer documentation and reports. Assists in the preparation of bids for construction projects. Prepares documents for distribution to parties interested in bidding projects and compiles all final documentation for Owner/ Architect review.


    Key Responsibilities and Essential Functions:

    Administration


    • All administrative processes for department: organizing files (electronic and paper files)

    • Maintaining Project Schedule

    • Planning and organizing preconstruction events

    • Schedule and coordinate meetings, type and distribute meeting minutes.

    • Streamline process for any Excel files, including creating Excel templates.

    • Set up binders, owner bid forms.

    Project Bidding and Support:


    • Construct and maintain estimating Bid Book, Estimating Procedures Book, ISQFT, Historical Cost Data Book and Spreadsheet, Estimating Staff assignments Project Leads and other reports as requested by Preconstruction Director

    • Receive, track, and disseminate bidding information coming from subcontractors: keeping track of responses to bid and bids received in Master Directory

    • Enter, monitor, and manage bid opportunities.

    • Maintain the master list and project bid lists of subcontractors and vendors.

    New Project setup:


    • Upload plans and specifications in Building Connected; including all bidding documents, forms, reports, etc. to subcontractors interested in bidding the project

    • Set up new job folders on server.

    • Maintain Templates and Forms

    Other:


    • Other duties may be assigned.

    • Be able to work in an Open Office environment from 8:00 am - 5:00 pm Monday through Friday, with the ability to come in early and/or stay late on occasion.

    • Ability to support multiple people while also establishing expectations to prioritize deliverables.


    Education, Experience, and Qualifications:


    • Associates Degree in administration, communication or equivalent

    • 3+ years in an administrative or support role, supporting at minimum 6 staff members.

    • Advanced in MS Office suite

    • Strong MS Excel skills

    • Construction or similar industry experience highly preferred

    • Excellent attention to detail

    • Strong Mathematical skills

    • Demonstrate a clear understanding of commonly used business practices as they relate to construction.

    • Effective interpersonal communication skills, negotiation skills, organizational/time management skills a must
