Job description

Position Summary:
The Manager - IT Assets & Telecom Operations position is responsible for managing all Desktop Services purchasing and procurement processes as well as the Telecommunications Billing and Analysis processes. The Manager oversees the Shop Admin team. They are responsible for the purchasing of IT equipment and billing to the respective departments. This team will also process AR and PO requests, along with validating invoices received for accuracy. The team will maintain the ITEP purchasing site. They will work closely with the Manager - Desktop Services to ensure accuracy of data entered into the CMDB for proper asset tracking of hardware and software assets. The Manager will establish and maintain inventory guidelines and ensure execution of orders in a timely manner. In addition to the PC Shop Admins team, the Manager will also oversee the Telecom billing and analysis teams. They will provide day-to-day support and oversite of multiple aspects of Penske's Telecommunications. The Manager will work with our IT teams and end users to ensure new and/or updated technology solutions are properly designed, delivered, and highly available. Working with the management team, the Manager will both contribute to and lead teams that perform the oversight of telecom expense management, vendor relations, telephony reporting, mobile device needs, and related telephony purchases. This includes participating in budget preparation and management for the campus and field organization.  

Major Responsibilities:
Maintain vendor relationships for new equipment and software
Work closely with the Manager of Desktop Services to coordinate the distribution of equipment and software purchased by the Shop Admin team.
Respond to urgent needs and executive requests for hardware and software purchases
Track all purchases and assets in the CMDB to ensure accurate inventory information per cost center, as well as proper tracking and provisioning of software assets.
Manage billing and payment processes for all PTL and PL telephony/circuit expenses
Identify cost savings opportunities including audits of existing services
Review vendor proposal and report changes needed
Conducts regular standups with the team
Identifies and implements process improvement opportunities
Involved with annual Business Plan and budgetary decisions
Create and maintain company-facing policies and procedures including purchasing and procurement of IT equipment and telephone/mobile device policies
Create and maintain a staffing model for the department, including conducting analysis of current staff and understanding needs to change staffing
Mentor and coach direct reports
Perform other duties as assigned

Qualification:
Bachelor's Degree preferred. If no degree, equivalent work experience is required.
Minimum 3 years of experience purchase, procurement, invoice, and billing experience.  Also, technical experience and/or customer service experience
Minimum 2 years of experience in leadership over a Telecom team or Shop Admin team, managing over 25,000 assets
Introductory proficiency in Office products
Intermediate knowledge of Penske systems
Intermediate Billing & Invoice experience
Intermediate Purchasing & Procurement processes for a large enterprise
Introductory Vendor Management and relationship
Ability to self-manage
Willing to travel as necessary
Ability to coach others and has strong leadership skills 
Handle multiple responsibilities
Drive process improvement
Ability to communicate complex information in a variety of ways to diverse audiences.
Regular, predictable, full attendance is an essential function of the job
