POSITION: Records Clerk
LOCATION: Sherwood Acres Elementary School and Alice Coachman Elementary
JOB SUMMARY: The Dougherty County School System is seeking a Records Clerk to manage and maintain student records and documentation for Sherwood Elementary School and Alice Coachman Elementary. This role involves organizing, updating, and ensuring the accuracy of student files, enrollment forms, and confidential information. The clerk will assist teachers and administrators in accessing necessary records, coordinate with families to gather required documentation, and comply with state and federal regulations regarding student information. The Records Clerk plays a vital role in supporting the overall administration and contributing to a positive educational environment.
MINIMUM QUALIFICATIONS:
  1. Diploma in Business Office Technology or equivalent;
  2. Three years of clerical experience in a school office or related setting;
  3. Experience working with sensitive information regarding students;
  4. Experience in Microsoft and Google Suites applications;
  5. Such alternatives to the above qualifications as the Superintendent and the Board may find appropriate.

SKILLS AND ABILITIES:
  1. Excellent communication and organizational skills;
  2. Ability to collect, sort, prepare and scan documents, and label them for easy identification;
  3. Monitor records for discrepancies or errors, ensuring data accuracy and compliance with organizational standards.
  4. Ability to ensure that all records are properly updated and maintained in an accurate and confidential manner.

PERFORMANCE RESPONSIBILITIES:
Public Interaction
  • Greets and interacts professionally and effectively with students, staff, parents, teachers, administrators, and the general public using tact and sound judgment.

Administrative Support
  • Provides comprehensive secretarial and clerical support to building administrators.

Communication Management
  • Answers and routes telephone calls, takes accurate messages, and ensures timely responses.

Student Enrollment
  • Enrolls new students, creates cumulative folders, and requests academic records from previous schools.

Records Management
  • Maintains student discipline records, processes, and sorts report cards for the entire school.

Data Entry
  • Inputs student information for transfers both within and outside the district accurately and efficiently.

Office Operations
  • Assists in the smooth functioning of office operations by offering clerical support as needed.

Instructional Support
  • Aids teachers in preparing instructional materials and classroom resources.

Cross-Training
  • Trains to perform the duties of the Office Manager to ensure continuity of operations.

Other Duties
  • Performs additional tasks as assigned by the supervisor to support school operations.

WORK/PHYSICAL REQUIREMENTS:
  1. Ability to sit, stand, walk, and drive for extended periods;
  2. Must be able to lift and carry materials such as student files or portable equipment (up to 25 pounds);
  3. Ability to move around school building and administrative office;
  4. Sufficient vision and hearing to communicate effectively, read documents, and work on a computer;
  5. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
