Director Of Short-Term Programs
Reports to: Dean of Continuing Education Supervises: Instructors of Short-Term Programs FLSA: Exempt Position Description The Director of Short-Term Programs provides strategic leadership, development, and oversight of non-credit continuing education programs that support workforce development, personal enrichment, and community engagement. This includes specialty and hobby-based programs such as gunsmithing, NRA training, knife-making, pottery, beekeeping, Master Gardener preparation, taxidermy, summer camps, and other short-term instructional offerings. The Director ensures programs are responsive to community needs, financially sustainable, compliant with applicable regulations, and aligned with the mission of the North Carolina Community College System.
Essential Responsibilities
Program Development & Management
- Plan, develop, implement, and evaluate short-term continuing education programs.
- Identify emerging community needs and trends to expand program offerings.
- Maintain a diverse portfolio of programs, including workforce, certification, and personal enrichment courses.
- Ensure quality instruction and positive student experiences through recruitment, onboarding, orientation, training, supervision, and evaluation.
- Ensure instructors meet credentialing and compliance requirements.
- Provide ongoing support, guidance, and performance feedback to instructors.
Compliance, Accountability, and Reporting
- Ensure programs comply with all local, state, and federal regulations.
- Oversee safety standards for hands-on and potentially hazardous programs (e.g., firearms, equipment use, lab/shop environments).
- Maintain compliance with policies related to programs such as NRA or other regulated instruction
- Create and submit Start Sheets to the Assistant Registrar of Continuing Education to support timely course builds in the college database, including course setup and instructor assignments for contract generation.
- Review, verify, and approve faculty and staff contracts, change forms, and timesheets for payroll submission monthly.
- Review completed class folders verifying accuracy, completeness, and compliance with institutional and NCCCS requirements; ensure all required documentation and authorized signatures are included before submitting finalized folders to the Registrar's Office for official course closeout processing.
- Maintain accurate records, reports, and documentation for state reporting (e.g., FTE where applicable).
- Support accreditation and audit processes as needed.
Budget & Financial Oversight
- Develop and manage program budgets.
- Monitor revenue and expenditures to ensure cost-effective and self-supporting programs where required.
Partnerships and Community Engagement
- Build partnerships with local businesses, community organizations, and industry experts.
- Promote programs through outreach, marketing collaboration, and community events.
- Serve as a liaison between the college and external stakeholders.
Marketing & Enrollment Management
- Collaborate with marketing staff to promote programs
- Monitor enrollment trends and adjust offerings accordingly.
- Develop strategies to increase participation and program visibility.
Other Duties:
- Attending all mandatory meetings, including those related to professional development, and participating in key campus events such as graduation, employee meetings, etc., demonstrating a commitment to the college community.
- Serving on college committees and attending meetings as assigned and/or requested, contributing to the governance and strategic initiatives of the college.
- Supporting, following, and enforcing all College policies and procedures, ensuring compliance within the department and promoting a culture of accountability.
- Performing other duties as assigned, assisting with tasks and projects that contribute to the success and goals of the department and college.
Qualifications & Degree Requirements
- An associate's degree from an accredited institution is required. A bachelor's degree in education, public administration, business, or a related field is preferred.
- Experience supervising staff or instructors is required.
- Strong organizational, budgeting, and communication skills are required.
- Ability to manage multiple programs simultaneously, demonstrate strong interpersonal and relationship-building skills, and analyze data to make sound programmatic decisions is required.
- An understanding of safety and liability considerations in instructional settings is required.
- 3–5 years of experience in program management, workforce development, or continuing education is preferred.
- Experience in a community college or continuing education environment preferred.
- Knowledge of North Carolina Community College System (NCCCS) policies and reporting preferred.
- Experience managing hands-on, technical, or regulated programs (e.g., firearms, trades, or lab-based instruction) is a plus.
Physical Demands and Working Conditions
- Position consists of an office environment and frequent walking between buildings and to the firing range for class preparation.
- Exposure to loud noises from the firing range, beehives, and pottery workshops.
- Occasional lifting of materials up to 30 pounds.
- Ability to observe and evaluate hands-on instruction in varied environments (outdoor, workshop, and classroom).
- Exposure to instructional environments such as workshops, outdoor settings, and labs.
- Occasional evening and weekend work required.
- Must be able to oversee programs involving regulated or sensitive content (e.g., firearms training) in compliance with all laws and college policies.
- May require background check eligibility appropriate for certain program areas.
- Strong emphasis on safety protocols and risk mitigation.
- Overnight travel may be required to attend Shot Show and other conferences or workshops.
