What Is a Tax Assistant?

As a tax assistant, you work with an organization's accounting department to prepare tax filings and monitor tax-related expenses. Your job duties include reviewing tax returns, performing basic administrative work, and ensuring filing deadlines are understood and met. You may work for individual clients, helping properly fill out tax return forms during tax season, or you may work within a larger organization to provide professional support. As a tax assistant, you need a high level of attention to detail, a thorough understanding of database and spreadsheet technology, and impeccable record-keeping and organizational skills. You also need to know the basics of tax law and the principles of confidentiality.

What are the key skills and qualifications needed to thrive as a Tax Assistant, and why are they important?

To thrive as a Tax Assistant, you need a solid understanding of accounting principles, tax regulations, and attention to detail, typically supported by a degree in accounting or finance. Familiarity with tax preparation software (such as QuickBooks or TurboTax), spreadsheets, and document management systems is commonly required. Strong organizational skills, discretion, and effective communication help Tax Assistants excel in supporting clients and senior staff. These abilities are crucial for ensuring accurate, timely, and compliant tax filings in a fast-paced environment.

What are some common challenges faced by Tax Assistants during peak tax season, and how can they be managed?

During peak tax season, Tax Assistants often encounter high workloads and tight deadlines as they help prepare and process large volumes of tax documents. Managing multiple clients’ files and ensuring accuracy under pressure can be challenging. Effective time management, clear communication with team members, and staying organized with digital tools can help mitigate these challenges. Many firms also provide mentorship and training to support Tax Assistants during busy periods, fostering a collaborative environment where team members can share best practices.

What are Tax Assistants?

Tax Assistants are entry-level professionals who support tax departments or accountants by performing clerical and administrative tasks related to tax preparation and filing. Their duties often include organizing financial documents, entering data, assisting with basic tax calculations, and communicating with clients or tax authorities. Tax Assistants help ensure that all tax-related paperwork is accurate and submitted on time, and they may also help research tax laws or answer client inquiries. This role is essential in helping tax professionals stay organized and efficient, especially during busy tax seasons.

What You'll Do:

  • Ensure timely and accurate filing of client tax returns; deadlines vary by client but range from monthly, quarterly, and yearly
  • Extracting and importing reports and data using applicable client databases
  • Formatting reports and data as needed for future use, which may include managing the data integrity with regular maintenance
  • Preparation of sales/use tax returns, as well as filing and collection of payment on time by the due date
  • Assist in completing registration applications for various state/local taxes along with completion and submission of applicable documents
  • Help with additional client needs such as identifying tax opportunities and preparing refund claims
  • Perform tax research, scheduling, or assist in tax planning as needed
  • Assist with other sales/use tax projects as assigned, including multi-state tax projects that may include refund reviews, tax compliance, nexus reviews, voluntary disclosures, audit defense, and assessment appeals
  • Provide various support to facilitate marketing opportunities

What We're Looking For:

  • Proficiency in Microsoft Suite, primarily Excel required
  • Ability to learn tax filing skills, basic sales tax concepts, and tax/other software as needed
  • Good interpersonal and communication skills (written and verbal)
  • Strong planning and organization skills
  • Detail-oriented
  • Able to adapt to changing regulations while staying consistent
  • Comfortable working overtime as needed. Specific overtime requirements will be discussed during an interview process.

Your Qualifications:

  • 1-2 years of sales/state tax exposure
  • Basic understanding of sales and use tax preferred
  • Property tax knowledge preferred
  • High school diploma or GED equivalent required
