The Benefits Assistant provides administrative support to the Benefits Team, primarily responsible for the day-to-day data entry, record maintenance, and transaction processing related to employee benefit programs within PeopleSoft and UKG HRIS platforms. This role ensures benefit information is accurately entered, updated, and maintained across systems, and supports the Benefits Coordinators and Benefits Manager with routine administrative tasks. This is an entry-level, administrative-focused position and does not involve benefit plan analysis, claims adjudication, or direct policy interpretation.

KEY RESPONSIBILITIES
Monitor and action system-generated notifications in PeopleSoft and UKG pertaining to leave of absences, return-to-work, and related employee lifecycle events.
Manage the shared benefits inbox, triaging and flagging incoming emails to ensure timely follow-up and resolution.
Respond to routine, non-complex employee and Branch inquiries regarding benefit enrollment status, directing more complex or interpretive questions to the Benefits Coordinators.
Sorting, scanning, and electronically routing incoming physical mail to the appropriate Benefits Coordinators.
Generate, distribute, and archive recurring benefits reports to streamline team operations.
Prepare and distribute Taleo reporting; consolidate master files to support compliance reviews.
Process monthly termination write-offs and clear payroll on-cycle data with accuracy and timeliness.
Maintain master workbooks for leave of absences and benefit arrears, ensuring data integrity through weekly updates.
Monitor and respond to voicemail inquiries in a timely and professional manner.
Responsible for monitoring LTD eligibility dates, assessing criteria, and initiating the LTD application process for employees on extended leave.
Ensure the strict confidentiality and protection of proprietary corporate and personal employee data.
Comply with all Bayshore policies and procedures.
Assist Team Leads with semi-annual benefits reassessment and annual implementation of insurance carrier renewals.
Handle special administrative tasks as assigned by the Team Leads.
Responsible for supporting the distribution of company-wide benefits materials and communications to employees.
WORK LOCATION:
Mississauga, Bayshore HealthCare, National Service Centre (Hybrid).
Post-secondary education required, preferably in Human Resources, Business Administration, or a related field.
Prior administrative or data entry experience is an asset.
Fluency in French (both verbal and written) is preferred but not required.
EXPERIENCE:
Experience in at least one of the areas below, gained through either education or work:
Working with PeopleSoft HR/Payroll application.
Working with UKG (Ultimate Kronos Group) HRIS application.
General office administration or data entry.
Intermediate MS Office applications - Excel, Word, and Outlook.
OTHER SKILLS AND ABILITIES:
Strong attention to detail and a high degree of accuracy when entering and reviewing data; ability to follow established procedures and data entry standards; good organizational and time management skills with the ability to manage multiple, routine tasks; good verbal and written communication skills; ability to work independently and as part of a team; discretion in handling confidential employee information.
