Job description

Under the direction of the HRIS Manager, the Senior HRIS Analyst supports the ongoing digitalization of Keolis Human Resources systems and processes through the maintenance, configuration, and enhancement of HR technology tools. This role focuses on ensuring data accuracy, improving system efficiency, supporting integrations, and providing analytical insights to drive informed decision-making across the organization. The Senior HRIS Analyst works under the direction of the HRIS Manager and collaborates with HR, leadership, and other critical business partners to deliver effective, compliant, and user-friendly HRIS solutions.

Additionally, the HRIS Senior Analyst will manage and maintain accurate HR data through regular auditing, ensure the operational integrity of the HRIS system, and support data entry processes. This person will also be responsible for maintaining and updating existing reports for various end users and troubleshooting any system issues as they arise strong UKG experience is needed for this role . 

Key Accountabilities:

System Configuration and Maintenance

  • Support HRIS configuration, integrations and setup of workflows, business rules, and data tables in UKG
  • Assist with testing, validation, and deployment of HRIS system updates and releases
  • Perform regular data audits to maintain system accuracy and compliance
  • Support with the maintenance and troubleshooting of integrations between HRIS and external systems

  • Collaborate with IT and internal partners when needed to ensure system security and data integrity

Data Management and Security

  • Maintain master data tables (locations, job codes, cost centers, earnings/deductions tables)
  • Support in the management of user access rights and security in compliance with data protection guidelines
  • Conduct routine data quality checks and resolve discrepancies
  • Developing and implementing new processes and systems for efficient HR management, while managing auditing efforts on HR processes and documents to ensure data integrity
  • Propose HRIS design, application, and processes based on functional requirements from the Centers of Excellence

Process Improvement and Support

  • Collaborate with HR and business units to identify and support process improvement opportunities
  • Assist with system enhancements, testing, and training related to new processes
  • Document configuration changes, system processes, and standard operating procedures
  • Support HRIS setup during acquisitions or new site mobilizations

Maintenance and Development Solutions

  • Able to perform root cause analysis and propose HRIS design improvements, policies, and procedureswith support of the HCM Manager
  • Test HRIS application development against HR and business requirements
  • Define, document, and upgrade HRIS application system processes and systems to comply with changes in working conditions and regulations
  • Update, maintain, create non-employee specific data value tables

Knowledge and Experience:

  • 4+ years of HR systems experience, with UKG Pro, UTA, or Core HR/Payroll. Mandatory. 
  • Working experience as an HRIS Administrator or similar role.
  • Experience in HRIS configuration, data auditing, and reporting
  • Strong technical aptitude with HR software, preferable UKG Pro and database management.
  • Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis).
  • Hands-on experience with integrations between HR and vendor systems.
  • Self-motivated and highly analytical, with keen attention to detail and a strong aptitude for working with numbers.
  • Knowledge of Canadian data privacy and HR compliance standards.
  • Bilingual French/English written and spoken.

Preferred:

  • Experience in HR Systems implementations and maintenance.
  • Experience in company acquisitions, building integrations between systems, building processes, training users on new systems/processes, and an understanding of project management and change management processes.
  • Knowledge of case management systems (ServiceNow, Salesforce).
  • Bachelor’s degree or equivalent experience.
  • Experience working with transportation.

  • Strong problem-solving capabilities and ability to drive action.
  • Proven ability to partner effectively with HRIS team members to provide guidance and support to achieve shared goals and complete HRIS tasks.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High data analysis capability and ability to use data to solve problems.

  • This position is hybrid and will be a part of the Keolis Canada office and can be based in Edmonton or Terrebonne.
