The Surgery Scheduling Coordinator plays a vital role in planning and scheduling surgical cases, coordinating physician schedules, and ensuring that all resources are available for successful patient care. This position supports surgeons, patients, and staff by managing appointments, obtaining necessary documentation, and preparing hospitals and surgical facilities for each case. The Coordinator ensures smooth communication between patients, providers, and facilities to deliver efficient, high-quality surgical care.

Key Responsibilities

  • Schedule surgical cases and physician office appointments.
  • Coordinate return appointments, labs, and diagnostic tests (radiology and radiation oncology).
  • Assist patients with surgery-related questions and appointment needs.
  • Pull necessary information from the EMR and record relevant details.
  • Obtain pre-certifications for all surgeries.
  • Notify supervisor or director of any scheduling issues in a timely manner.
  • Fax paperwork to surgery facilities ahead of scheduled procedures.
  • Obtain medical records, films, and slides required for surgery.
  • Prepare and deliver complete hospital information packets for each surgery.
  • Ensure availability of hospital rooms, surgical equipment, and support staff (residents, techs, etc.).
  • Coordinate schedules with other physicians (e.g., plastic surgeons) as needed.
  • Maintain patient confidentiality and demonstrate professionalism at all times.
  • Attend staff meetings and assist with training/orientation of new employees.
  • Communicate effectively with internal teams (medical records, insurance, nurses, physicians) and external contacts (patients, hospital staff, referring offices).
  • Perform additional duties as assigned.

Qualifications

Education & Experience

  • High school diploma or GED required.
  • Minimum of one year of related scheduling or healthcare experience preferred.
  • Equivalent combination of education and experience may be considered.

Skills & Abilities

  • Excellent organizational, follow-up, and problem-solving skills.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Proficiency in computer applications including Word, Excel, and email.
  • Ability to establish and maintain professional working relationships with patients, providers, and staff.
  • Ability to analyze situations and respond quickly and appropriately.
  • Basic math skills including addition, subtraction, multiplication, and division.
