Job description

We are seeking an experienced Surgery Scheduler with a strong medical background and solid knowledge of clinic and surgical scheduling. This position supports an outpatient clinic and is responsible for coordinating patient appointments, referrals, insurance requirements, and surgical procedures from initial scheduling through pre-operative clearance.

Key Responsibilities

  • Schedule patients for office visits required for surgical clearance and coordinate pre-operative appointments.
  • Schedule surgical procedures and complete all required paperwork for surgery facilities.
  • Verify patient insurance coverage and determine whether surgical referrals or prior authorizations are required.
  • Initiate and follow up on necessary referral and authorization processes.
  • Manage physician and patient schedules while ensuring accurate appointment coordination.
  • Answer incoming phone calls, take referrals, document messages, and transfer calls appropriately.
  • Communicate with patients, physicians, clinical staff, surgery facilities, and other departments regarding scheduling and pre-operative requirements.
  • Assess operating room, staff, equipment, and instrument availability before scheduling surgical cases.
  • Schedule daily operating room (OR) use and prepare OR schedules.
  • Prepare call sheets and pre-admission visit schedules for appropriate departments.
  • Distribute daily OR schedules, call sheets, and pre-admission schedules.
  • Ensure required patient information and documentation are completed accurately and on time.
  • Fax medication lists and other required clinical documentation to physicians and facilities.
  • File, scan, photocopy, and maintain patient records and scheduling documents.
  • Prepare daily reports and generate monthly statistical reports according to established procedures.
  • Coordinate with billing and other departments to ensure accurate and timely patient information for billing purposes.
  • Maintain proficiency with computer systems and office equipment used for scheduling and administrative functions.
  • Protect patient confidentiality and follow all applicable healthcare policies and procedures.
  • Perform other job-related duties as assigned.

Required Qualifications

  • Previous Surgery Scheduling experience required.
  • Solid knowledge of outpatient clinic scheduling.
  • Medical/healthcare background required.
  • Experience managing patient referrals and insurance authorizations.
  • Experience scheduling patients for surgical clearance and pre-operative visits.
  • Ability to manage multiple schedules, referrals, and time-sensitive tasks in a fast-paced outpatient environment.
  • Proficiency with computers, scheduling systems, faxing, scanning, and other office equipment.
