About Northern Virginia Surgical Arts

Northern Virginia Surgical Arts is a multi-location oral and maxillofacial surgery practice specializing in dental implants, full-arch restoration, wisdom teeth removal, IV sedation, and complex surgical care. Our practice is built on clinical excellence, an exceptional patient experience, and strong relationships with our referring doctors.

We are continuing to grow and are looking for a strong Office Manager who can lead a team, improve systems, and help drive practice performance.


Position Summary

The Office Supervisor is responsible for the overall operations, team leadership, and performance of the practice. This is a leadership role, not just an administrative position. The Office Supervisor will be responsible for team accountability, patient experience, schedule efficiency, and office performance.

The ideal candidate is organized, accountable, calm under pressure, and able to lead people in a fast-paced surgical environment.


Key ResponsibilitiesLeadership & Team Management
  • Lead, coach, and develop front office and clinical support team
  • Hold team members accountable to performance and behavior standards
  • Conduct team meetings and morning huddles
  • Assist in hiring, onboarding, and training new employees
  • Maintain a positive, professional, and accountable office culture
Operations Management
  • Oversee daily office operations and patient flow
  • Ensure schedule efficiency and production goals are met
  • Monitor KPIs such as production, collections, case acceptance, and scheduling
  • Implement and maintain office systems and SOPs
  • Troubleshoot operational issues and solve problems proactively
Financial & Administrative
  • Review daily deposits and financial reports
  • Manage office supplies, vendor relationships, and expenses
  • Coordinate with HR, payroll, and leadership team
  • Ensure compliance with OSHA, HIPAA, and office protocols
Patient & Referral Experience
  • Ensure an exceptional patient experience from first call to post-op
  • Handle patient concerns and service recovery
  • Help maintain and grow referring doctor relationships
  • Support marketing and practice growth initiatives
Qualifications
  • Previous dental or oral surgery office management experience
  • Strong leadership and team management skills
  • Understanding of dental insurance, billing, and treatment coordination
  • Experience managing schedules and production goals
  • Strong communication and problem-solving skills
  • Highly organized and detail-oriented
  • Experience with dental practice management software (Sensei, Dentrix, Eaglesoft, etc.) preferred
