Job description


The Administrative Assistant provides essential clerical and operational support to the partner. This role ensures the smooth day-to-day functioning of the office by handling a wide variety of administrative tasks accurately and efficiently.

Key Responsibilities


•    Emails – assisting with responding, tracking responses, and alerting of missed responses

•    Phone calls – answer all calls for partner transferred by receptionist and follow-up

•    Prospect client support – provide fee structure, our process for onboarding, gather prior year returns, work with office manager to add client once accepted, and communicate with tax supervisor.

•    Client organizers – assist with disbursement of tax organizers electronically & by mail

•    Client documents – manage, organize, process, scan/upload to Sureprep, bind, and verify and safe return of documents provided.

•    Organize and maintain both physical and electronic filing systems, including client records and tax documents

•    Coordinate scheduling for Partner with clients, prospect clients, and referral sources

•    Assist with tax return assembly, collation, copying, scanning, and delivery 

•    Coordinate with vendors, couriers, and government agencies as directed

•    Assist with special projects during peak tax season as needed

Qualifications


•    High school diploma required; associate's or bachelor's degree preferred

•    2+ years of administrative experience, preferably in a professional services environment

•    Strong written and verbal communication skills

•    Proficiency in Microsoft Office Suite; experience with tax or accounting software a plus

•    High attention to detail and strong organizational skills

•    Ability to maintain strict confidentiality of client and firm information

•    Position requires working more than 40 hours per week during tax season
