Essential Duties and Responsibilities
  • Greeting and directing trainees, visitors, vendors, and delivery personnel while managing sign-in and office procedures.
  • Managing the visitor management system and maintaining accurate logs.
  • Assisting employees with video conferences and troubleshooting meeting room equipment.
  • Preparing and maintaining break rooms, coffee stations, showrooms, conference rooms and training spaces.
  • Coordinating catering needs, including set-up and notifications.
  • Conducting regular walkthroughs to identify and maintain the cleanliness, organization, and professional appearance of all office common areas, including reception, conference rooms, kitchens, and shared workspaces.
  • Assisting with office design initiatives, including space planning, furniture arrangement, and layout improvements to support functionality and employee experience.
  • Supporting office decoration efforts for seasonal updates, company events, and branding alignment.
  • Managing the office badge system by issuing, tracking, activating, and deactivating employee and visitor badges; maintaining accurate access records in alignment with company security policies.
  • Handling incoming and outgoing mail, packages, and courier services.
  • Providing administrative support such as data entry, filing, and document preparation.
  • Offering assistance to guests, employees, and vendors as needed.
  • Providing backup support for other administrative roles when required.
