The Program Coordinator, Student Involvement is a member of a team of professionals within the Student Activities Office (SAO) responsible for the active advising and support of student clubs and organizations, as well as training and leadership development, recognizing the importance of student involvement in student success and community on campus. As a member of the Student Involvement Team, the Program Coordinator supports the recognition, registration, event support, and policy compliance of 500+ clubs and organizations. This position provides direction and assistance to major student organizations such as the First Undergraduate Experience in Leadership and a class council, and is a resource for student leaders in planning and executing programs.
The Program Coordinator reports to the Assistant Director for Student Involvement and is a full-time 12-month position with a significant amount of late-night and weekend programming responsibilities throughout the academic year, as well as some limited evening and weekend responsibilities throughout the summer.
Essential Duties and Responsibilities:
Club Oversight & Operations
Serves as the primary Activities Liaison for 100+ clubs while co-leading operations for 500+ student organizations. Includes managing club recognition, registrations, event approval and execution, university policy compliance, travel, and the home football game day fundraising concession program.
Designs and delivers leadership training for student leaders and full-time faculty/staff club advisors; supports annual retreats, workshops, and major campus-wide traditions like the annual Activities Night fair in September and Student Leadership Awards process and banquet in April. Supports implementation of student leader retreat in the fall and leadership programming for students throughout the year.
Event Management, Approvals & Risk Mitigation
Guides clubs through planning and executing large-scale events (e.g., concerts and dances), reviews department submissions (including food service approvals), provides guidance on contracts and risk/liability avoidance, and serves as on-site Event Manager for venue safety and operations.
Student Government & Organizational Advising
Advises key Student Government entities (e.g., Class Councils, FUEL) through weekly meetings, providing mentorship and direction in budget administration, governance, operational execution, and year-to-year leadership continuity. Attends meetings and events of advising groups, and meets separately weekly with the leadership of the organizations.
Student Support & Departmental Operations
Maintains open, drop-in office hours as an approachable campus resource for student guidance, while contributing to administrative and team operations across the 20-person Student Activities Office (SAO) team.
Participates as an integral member of a large, multifaceted Student Development team, interacting regularly with colleagues in the Office of Community Standards, RecSports, University Bands, Family Resource Center, and student media groups.
Serves as a member of the Division of Student Affairs and regularly collaborates with other areas within Student Affairs (Campus Ministry, Career and Professional Development, Residential Life, Sister Thea Bowman Center, Student Development, and Student Health and
Wellness), student clubs and organizations, and other University units to enhance the department's work building connections and relationships with students.
Education:
- Required: Bachelor's Degree
- Preferred: Masters Degree. Major in College Student Personnel, Counseling, Higher Education or a related filed.
Experience:
- A successful candidate will have 1 to 2 years of experience with student group advising, college student-aged leadership development, large-scale event planning, and departmental administrative responsibilities.
Skill Qualifications:
- Qualifications include strong organizational skills and the knowledge of and desire to develop cutting edge leadership programs and initiatives.
- Exceptional communication and interpersonal skills necessary to deal effectively with a diverse group that includes students, staff, faculty, and the public.
- A successful candidate will also demonstrate a clear appreciation of and commitment to the University's Catholic, Holy Cross mission.
