Description
Performs a variety of clerical and financial work in the Case Management Division, which includes filing new cases, setting up financial accounts, preparing court orders, and processing court orders. Employee must exercise independent judgment in completing assignments. Employee must also exercise considerable tact and courtesy in frequent contact with legal community, state and local agencies, and the general public.
Job responsibilities may include any of the following, depending on the incumbent's functional assignment. This is not meant to be an exhaustive list of job functions, but a representative sample of the type and level of work that is expected in this position.
Uses the Virginia Supreme Court Case Management System (CCMS) and Case Imaging System (CIS) to receipt, index, scan, and verify criminal and civil case documents.
Calculates criminal court costs, establishes payment plans and provides notification of such to defendants, and receipts criminal payments.
Completes a variety of reports to include but not limited to the following reports: Final Notice to Pay (DC225) report, the Division of Motor Vehicle (DMV) report, the Virginia State Police Central Criminal Records Exchange (CCRE) report.
Prepares files for appellate court by indexing and scanning entire file and organizing exhibits in the Digital Appeal Record System (DARS); notifying the appellant and appellee when the record is electronically submitted; processes appellate court orders and add appropriate court costs.
Processes court orders; mails certified copies of orders to various state and local agencies, issues and inputs service of process, and subpoenas and subpoena duces tecum.
Assists the general public and legal community with proper filing fees, documentation, and general criminal and civil questions.
Minimum Qualifications
High school diploma or equivalent and three (3) years' experience in clerical, administrative, bookkeeping or customer service experience; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities.
This job is contingent upon successful completion of pre-employment checks to include criminal history and background checks.
Supplemental Information
Thorough knowledge of basic mathematics including addition, subtraction, multiplication, division, percentages, and decimals, sufficient to process financial transactions accurately.
Thorough knowledge of office procedures, practices, and equipment.
General knowledge of business English, including grammar, spelling, punctuation, and professional correspondence.
Effective oral and written communication skills.
Ability to provide courteous, professional, and effective customer service to the public, attorneys, judges, law enforcement agencies, and other governmental entities.
Ability to use personal and peripheral computer equipment and word processing and spreadsheet software with reasonable speed and accuracy.
Physical Demands
Must be physically able to operate a variety of general office machinery and equipment including typewriters, computer-driven data entry equipment, calculator, etc. The work is sedentary in nature.
