Student Employment Opportunity:Ā Student Administrative Services Registrar Assistant


**This position is for current Palmer College of Chiropractic students only.

Function:

To assist the Student Academic Records Coordinator and/or Associate Registrar with confidential student academic records handling, general clerical tasks, and front desk support. The work-study position is primarily responsible for providing confidential and sensitive records and clerical support services related to archived and current student records, graduation activities, and other assigned duties under the supervision of the Student Academic Records Coordinator and/or the Associate Registrar.

Organizational Relationship:

The primary supervisor for this position is the Student Academic Records Coordinator, with the Associate Registrar serving as a secondary supervisor as needed. The work-study is accountable to their assigned administrative staff member for the successful and timely completion of assigned duties.

General Qualifications:

  • Ability to work in and maintain all sensitive information and paperwork in a confidential manner.

  • Ability to take direction and perform confidential duties and tasks in support of student records creation, maintenance and delivery services.

  • Ability to learn multiple software, databases and web-based information systems related to student records digitization, organization, retrieval,Ā and processing

  • Ability to use office equipment

Specific Duties and Responsibilities:Ā 

  • Assist in providing clerical support for the origination and maintenance of confidential student academic files, ensuring materials are filed correctly in designated cabinets.

  • Assist in the digitization of student records to support transcript, diploma, and other student record request fulfillment activities.

  • Assist in obtaining accurate student information and documents.

  • Perform data entry into various documents and software programs.

  • Assist with navigating the student portal and Palmer website to locate necessary forms.

  • Assist students and alumni at the front deskĀ with completing various request forms.

  • Support graduation preparation and related duties.

  • Aid in the completion of special projects as assigned.

  • Answer phones, direct calls, and take messages when staff members are in meetings or unavailable.

  • Help with the registration process as needed, including collecting and distributing registration materials.

  • Assist with disseminating information and forms to students as needed.

  • Distribute correct academic forms for students to complete.

Evaluated Procedures and Schedules:

  • 10 hours a week

  • Evaluated on abilities to maintain strict confidentiality related to student records content and duties

  • Evaluated on abilities to accurately and without errors support student academic recordkeeping, delivery services and other front desk duties related to student and academic support.
