Job description

Student Accounts Coordinator
St. Ambrose University is seeking a Student Accounts Coordinator to support the full lifecycle of student financial transactions while providing outstanding service to students, families, faculty, and staff.
In this vital role, you will help ensure the accuracy and integrity of student account records, process payments and refunds, reconcile financial transactions, coordinate collections activities, and serve as a key resource for student account questions. You will also provide backup support for Student Financial Services operations and assist with workflow coordination within the department.
Key Responsibilities
  • Assist students, parents, faculty, and staff with questions regarding student accounts, billing, payment options, and account services.
  • Process accounts receivable transactions and ensure accurate posting of payments.
  • Prepare account statements, student refunds, student payroll transactions, and related financial records.
  • Research and resolve student account issues in collaboration with campus departments.
  • Serve as a backup for Student Financial Services phone, email, and walk-in inquiries.
  • Verify, post, reconcile, and maintain student account data in University systems.
  • Conduct collection activities in accordance with University policies and regulations.
  • Audit invoices, investigate discrepancies, and prepare reports as needed.
  • Invoice third-party sponsors, employers, and agencies for student-related charges.
  • Maintain compliance with FERPA and applicable federal, state, and University regulations.
  • Support departmental workflow coordination and process monitoring.

Qualifications
Required
  • Associate's degree with 12-15 credit hours of accounting coursework.
  • Knowledge of accounts receivable, cash handling, account reconciliation, and accounting principles.
  • Strong customer service, communication, and organizational skills.
  • Excellent attention to detail and accuracy.
  • Proficiency with Microsoft Office and financial software systems.

Preferred
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience working with student information systems or higher education financial operations.
