Job description

Provides leadership and management of the College's student records, registration, and graduation operations, directing staff, operational processes, performance metrics, and standard operating procedures to ensure efficient service delivery, regulatory compliance, and continuous improvement.

Direct Student Records Operations
Oversee daily student records, registration, and graduation functions, ensuring timely, accurate, and compliant processing of student records and transactions while maintaining service standards and operational effectiveness. Direct operational priorities, establish service expectations, and assess operational performance to ensure alignment with institutional goals and objectives.

Lead Staff Performance and Development
Supervise most student records staff, including hiring, training, scheduling, performance management, and professional development. Establish employee performance matrices, monitor productivity and service levels, and ensure adequate staffing and workload distribution.

Ensure Compliance and Data Integrity
Maintain compliance with FERPA, institutional policies, and records management standards. Ensure the accuracy, integrity, security, and appropriate release of student records through staff oversight, training, and quality control practices. Interpret and apply institutional policies, regulations, and procedural requirements related to student records operations.

Manage Process Improvement and Operational Excellence
Develop, maintain, and optimize standard operating procedures (SOPs), workflows, and business processes. Identify and implement operational improvements, system enhancements, and automation opportunities to improve efficiency, accuracy, and customer service. Assess operational effectiveness and recommend procedural, system, and service enhancements to improve program performance and institutional effectiveness.

 Support Business Continuity and Cross-Functional Collaboration
Maintain functional expertise across all records processes, ensuring cross-training, documentation, and operational coverage. Collaborate with academic departments, advising, information technology, and other campus partners to implement policies, resolve operational issues, and support institutional initiatives.

Provide Reporting and Institutional Support
Produce, validate, and analyze operational data and reports to support decision-making, audits, compliance requirements, and institutional reporting. Assist the Compliance & Records Registrar with reporting, audit preparation, and execution of strategic and operational objectives.

Other duties as assigned by leadership.
