Proposal Specialist

We're Strata Information Group (SIG), a consulting team that works alongside colleges and universities to improve the day-to-day experience for students, faculty, and staff.

We have an opening for a Proposal Specialist to partner with our RFP response team and help us show up clearly and credibly in competitive solicitations. You'll own the proposal process end-to-end, coordinating SMEs and internal stakeholders, ensuring we comply with requirements, and maintaining the content we reuse and improve using AI platforms. so our team can focus on delivering great work for our clients. This is a remote position.

What You'll Do


You'll be part of the team that turns complex RFPs into clear, compelling stories about the work we do and the impact we have in higher ed.

Spot the right opportunities
You'll monitor RFP and bid portals, surface the ones that actually fit our services, and keep everything organized in Salesforce so the team can move quickly.

Set each proposal up the right way
You'll bring the project team together, run kickoff meetings, outline responsibilities, and make sure everyone understands what the RFP is really asking for.

Write proposals people actually want to read
You'll craft responses that are sharp, human, and aligned with our strategy. That includes translating technical ideas into plain language, interviewing SMEs, and shaping content that feels true to our voice.

Keep us buttoned‑up and compliant
You'll track requirements, complete forms, gather signatures, and make sure every detail is handled—no surprises at the finish line.

Maintain the content that keeps us moving
You'll manage our proposal library (including AI‑supported content), organize files in SharePoint and Loopio, and track submissions so the team always knows where things stand.

Support the presentation phase
When proposals move forward, you'll help polish PowerPoints, coordinate strategy sessions, and schedule client‑facing calls.

Jump in where it counts
This role touches nearly every corner of our work. You'll collaborate across teams, keep momentum high, and help us show up at our best.

What You Bring

Required

  • At least 2 years in Professional Services, with the instincts that come from working directly with clients and internal teams.
  • Experience in higher ed or in a field that supports colleges and universities.
  • The ability to work independently when you need to and jump into cross‑functional collaboration when the work calls for it.
  • Comfort in a fast‑moving environment where deadlines are real and priorities shift.
  • A sharp eye for detail and a natural sense of organization.
  • Strong communication skills—clear writing, confident conversation, and the ability to adapt your style to your audience.
  • Solid time‑management habits that help you keep projects moving without feeling frantic.
  • Proficiency with the tools of the trade: Microsoft Word, PowerPoint, Excel, Adobe Creative Suite (Photoshop, InDesign, Illustrator), and platforms such as Loopio.
  • Experience using AI tools (Claude or similar) to support proposal development, content management, or workflow efficiency.
  • The ability to write with precision and brevity, without losing meaning.
  • A knack for translating technical language into something anyone can understand.
  • The relationship‑building skills to work well with teammates and clients alike.

Preferred

  • Experience with IT service delivery.
  • Familiarity with higher ed ERP systems.
  • Exposure to ERP procurement processes.
  • A bachelor's degree in a related field.
  • APMP or Shipley certification.

The listed salary range for this position is indicative and subject to adjustment based on the candidate's unique skills and location. Final compensation will be determined through mutual agreement between the successful candidate and SIG.
