POSITION PURPOSE
Supporting the Store Team's ability to run their business legally and safely by processing requests related to repairs, maintenance, supplies, product on-hand, and basic operations.
The Asset & Maintenance Coordinator plays a key role in supporting store operations by coordinating repair and maintenance activities, managing supplies, and ensuring timely resolution of service requests. This role serves as the primary liaison between store teams and external vendors and supports recurring operational needs, helping ensure legal, safe, and efficient store environments.
JOB DUTIES & RESPONSIBILITIES
Repairs & Maintenance
  • Manage and approve maintenance service requests and work orders across North American stores.
  • Coordinate lighting and fixture repairs, replacements, and upgrades.
  • Provide guidance to store teams on vendor communication and repair scope assessment.
  • Serve as the primary point of contact between stores and vendors to ensure timely and effective service delivery.
  • Participate in after-hours on-call communication and emergency response as needed.

Supplies & Procurement
  • Monitor and fulfill store supply needs; review and approve supply orders.
  • Manage procurement of specialized or exception-based store supplies.
  • Assist in coordinating logistics for national events including supply inventory, teacher supplies, lead requests, delivery schedules, transportation and lodging.
  • Collaborate with vendors to assess supply availability for Store Operations, individual stores, and national events.
  • Partner with the Facilities Maintenance Manager on recurring supply requests and sourcing needs.

Operations Support
  • Review and process store expense reports and reimbursements.
  • Maintain internal tools related to expense tracking and approval workflows.
  • Assist in recurring operational needs (e.g., receipt tape, gift cards, shipping supplies).
  • Coordinate and process gift card requests related to employee programs and customer service.
  • Provide logistical support for national events in partnership with Store Operations.

Reporting & Financial Administration
  • Support inventory processes and reconciliation across scheduled inventory cycles.
  • Assist Inventory Accuracy Specialists with store on-hand variance reporting.
  • Track and report budget spend for repairs, supplies, and events.
  • Process and reconcile vendor invoices related to maintenance, operations, and supplies.
  • Generate regular reports related to maintenance activity, supply usage, and event support.

Qualifications & Skills
  • 2+ years of experience in retail operations, facilities, or store support roles.
  • 1+ years of experience in administrative, facilities coordination, or vendor management.
  • Strong communication skills with the ability to support and guide field teams.
  • Proven organizational and time management skills; capable of managing multiple priorities.
  • Familiarity with Microsoft Office (Excel, Outlook, Word, PowerPoint); experience with facilities systems (e.g., CMMS) a plus.
  • Ability to adapt to shifting priorities in a fast-paced, service-driven environment.
  • Detail-oriented with the ability to simplify complex processes.
  • Self-motivated, accountable, and results-focused.

Physical Demands & Work Environment
  • Lifting/Carrying: Lift, push, pull, carry, and/or move up to 35 lbs.; occasionally lift or move up to 50 lbs.; and manipulate up to 100 lbs. with assistance for event support.
  • Ability to remain seated and work at a computer for extended periods.
  • Occasional travel and flexible hours including weekends as needed.

Work Environment
