Job Overview:

Assists in performing administrative and secretarial duties to relieve medical, professional and technical personnel of minor administrative and business details. Performs additional tasks as requested.

Qualifications:

Required:

  • High School Diploma or Equivalency
  • Minimum of 1-3 years' experience in medical setting with skills necessary to coordinate medical and education program activities
  • Good communication skills (verbal and written)
  • Knowledge of medical terminology
  • Able to prioritize and perform multiple tasks in a fast-paced environment
  • Computer proficiency

Scheduling Requirements:

  • Day Shift
  • Full-Time

Essential Functions:

  • Provides administrative support for the functioning of the administrative office in Clinical Pathology
  • Duplicates reports, correspondence and other documents using copying equipment, mail or facsimile machine, or distributes copies within the organization and to outside agencies
  • Answers routine telephone calls, and identifies self and department; gives factual information according to nature of questions and within guidelines of hospital regulations, or refers major administrative or technical questions to appropriate personnel
  • Maintains personnel files; types confidential correspondence related to personnel
  • Arranges appointments for committees and meetings, and acts independently in assigned administrative functions
  • Takes minutes of staff conferences and committee meetings, transcribing material and distributing minutes to designated personnel
  • Types confidential correspondence and reports, types and processes check requests for reimbursement. May compose and type routine correspondence
  • Assembles material for reports and special reports
  • Interviews visitors coming into office and directs them to the pertinent section of the Department of Pathology
  • Keeps records of appointments and meetings and reminds appropriate individual of them
  • Notifies intradepartmental and extra-departmental personnel of meetings
  • Maintains administrative and correspondence files, cross-indexing according to numerical, alphabetical and other criteria
  • May distribute mail within the department
  • Arranges appointments for committees and meetings, and acts independently in assigned administrative functions
  • Produces patient reports and distributes accordingly
  • May assist Medical Secretary (ies) with daily workload by filing slides and reports
  • Prepares case histories, medical records and reports; utilizes knowledge of medical terminology
  • Mails send-out results to appropriate physicians' offices
  • Supports the fiscal soundness of the department and medical center through purchasing and payroll processes
  • Performs and supervises activities involving purchasing/in-house orders, personnel and training programs
  • Assists in the capital and operating budget process
  • Completes payroll and completes attendance records and reports
  • Enters work schedule into hospital-wide time and attendance system
  • Maintains appropriate levels of supplies
