What is a stock administrator?

Stock Administrators are professionals responsible for managing and administering a company's equity compensation programs, such as stock options, restricted stock units (RSUs), and employee stock purchase plans (ESPPs). They ensure accurate record-keeping, compliance with regulations, and coordinate with employees, HR, and payroll departments regarding equity grants and vesting schedules. Stock Administrators also generate reports, assist during audits, and respond to employee inquiries about their stock compensation. Their expertise is crucial for maintaining transparency and accuracy in a company's equity programs.

What are the key skills and qualifications needed to thrive as a stock administrator?

To thrive as a Stock Administrator, you need a strong understanding of equity compensation plans, attention to detail, and familiarity with financial regulations, often supported by a relevant degree or experience in finance or HR. Proficiency with equity administration platforms (such as E*TRADE or Shareworks), Excel, and knowledge of SEC and IRS compliance are typically required. Excellent organizational skills, discretion, and clear communication help you manage confidential data and interact with employees and stakeholders. These skills ensure accurate recordkeeping, regulatory compliance, and smooth execution of stock-based programs within organizations.

What are some common challenges stock administrators face when managing equity plans for a diverse workforce?

Stock Administrators often encounter challenges related to the complexity of equity plans, such as handling multiple types of awards (e.g., options, RSUs, ESPP) and ensuring compliance with tax and legal regulations across different jurisdictions. Additionally, they must manage accurate and timely data entry, respond to employee inquiries, and coordinate with HR, payroll, and legal teams to support seamless plan administration. Staying organized and up-to-date with evolving industry standards is essential for success in this dynamic role.

This position follows the Companyโ€™s hybrid schedule which currently requires employees to work in the office at one of the following locations a minimum of three days per week: Addison, TX; Bellevue, WA; Durham, NC; Emeryville, CA; or Reston, VA.

What Youโ€™ll Do
  • Administer day-to-day global equity operations, including new grant setup, RSU vesting and releases, terminations, and grant cancellations
  • Maintain accurate grant and vesting data in the stock plan platform (e.g., Shareworks) and reconcile against internal systems
  • Oversee cap table management and ensure data accuracy across the platform, HRIS, and internal trackers
  • Assist with tax withholding and reporting for equity events, working with Payroll to confirm accuracy
  • Ensure compliance with applicable equity and securities regulations and internal governance requirements
  • Support financial reporting requirements related to equity, including preparing and reviewing equity-related disclosures for audits and filings
  • Respond to employee questions about their equity awards, vesting dates, and tax withholding
  • Prepare recurring and ad hoc reports for Finance, Payroll, Legal, and leadership
  • Support internal controls and audit requests related to equity administration
  • Assist with IPO readiness projects, including equity data cleanup, cap table validation, system analysis and process documentation
  • Use AI tools to build and improve equity administration processes, such as ticket handling, employee inquiry responses, and vesting tracking, and document these processes clearly for the team
Weโ€™re Looking For Someone With
  • Bachelor's degree in Finance, Accounting, Business, or a related field
  • 3-4+ years of experience in stock plan administration, including RSU processing
  • Experience at a publicly traded company is strongly preferred, given the higher bar for reporting accuracy, SEC-related deadlines, and audit readiness in that environment
  • Strong knowledge of equity compensation regulations and tax implications
  • Working knowledge of equity administration platforms (Shareworks, Equity Edge Online, or similar)
  • Solid understanding of RSU mechanics: cliff vesting, tranche-based vesting, vesting pauses, and adjusted vest dates
  • Practical experience using AI tools (e.g., for drafting communications, building trackers, or automating routine tasks) to improve accuracy and speed in an operational role
  • Advanced Excel and data management skills; comfort building and maintaining tracking tools
  • High attention to detail and strong analytical ability, with a track record of catching discrepancies before they become problems
  • Ability to handle confidential compensation data with discretion
  • Clear written and verbal communication, including explaining equity concepts to non-experts and coordinating across Finance, Legal, HR, and Payroll
Nice To Have
  • CEP Level II or III candidate or CEP (Certified Equity Professional) designation
  • Experience with a company transitioning from private to public, or vice versa
  • Familiarity with global equity plans and cross-border compliance
