Job Description

As Exectutive Assistant Intern for Hasana, Inc. you will have a variety of responsibilities throughout the semester. We are looking for a bright and innovative intern to support the Creative Director and the Hasana, Inc. team.

Primary responsibilities include but are not limited to:

  • To assist the Creative Director and the teams in day to day activities, particularly monitoring progress of various projects
  • To maintain and manage their filing systems and update records as required
  • To prepare power point presentations, reports, meeting notes, agendas and take minutes at meetings as requested, ensuring that minutes are prepared and distributed, and follow-up on actions from meetings
  • To sort the Creative Director's incoming mail and e-mails and to provide comprehensive secretarial support in relation to correspondence - logging, forwarding, prioritizing, responding
  • To make travel and hotel arrangements for the Creative Director and all Hasana, Inc. staff
  • To make and receive telephone calls, especially in the absence of the Creative Director
  • To maintain the calendar across time zones and set up meetings as appropriate
  • Performing any other appropriate tasks or duties as required, at the request of the Creative Director and the teams
  • Office Management
  • Responsible for collecting and monitoring all stationery orders for the teams
  • Manage supplies
  • To organize all catering and logistics where necessary
Qualifications
  • A passion for women's economic opportunities
  • Must be a full or part-time student and working toward a degree
  • Must be eligible to receive school credit and commit to 2-3 days a week for 3 months
  • Previous experience of an executive support role within a busy, service led environment
  • Advanced MS office skills, particularly Excel, Word and PowerPoint
  • Articulate with excellent writing skills, and good eye for detail
  • Discreet, professional and well spoken, with good communication skills
  • Exceptionally organized and efficient, with a good dose of common sense and initiative
  • Ability to use judgment and seek guidance with confidential issues
  • Proven ability to work with deadlines
  • Excellent level of visual presentation and ability to act as an ambassador for Hasana, Inc.
  • Pro-active and able to show initiative/ideas to constantly improve the service to the business
  • Integrity, honesty, openness and a willingness to operate as a team player
