Job description

Position Summary:

Responsible for oversight and management of PPMS Portal (Professional Practices Management System) to ensure all new PPMS documents and revised PPMS document changes are published timely, and to facilitate the annual review of all PPMS Corporate policies and procedures.

Responsible for oversight and maintenance of Letter Library (SharePoint Letters) to ensure all letter templates including development test proofs and letter mapping templates are current and up to date, including all associated metadata associated with the letter template. Additionally, oversee completion of all Letter SharePoint workflows to ensure all new letters and revised letter changes receive the appropriate approval from both internal and external stakeholders.

Support Compliance monitoring and auditing functions and Key Performance Indicators (KPI) Reporting, including Compliance reporting for Monthly Business Review Meeting deck.

Essential Duties and Responsibilities:

  • Responsible for oversight and management of ConServe’s Documentation System (PPMS portal). This includes all Professional Practices Management System (PPMS) document change requests and new document requests to ensure they have been properly submitted, and published in a timely manner, and notification to Business Owners of the change or new document.
  • Responsible to facilitate the annual review of all PPMS Corporate Policies and Procedures with the appropriate Business Owners, including monthly reporting to VPCPO of progress of reviews.
  • Responsible for oversight and maintenance of Letter Library (SharePoint letters) to ensure all letter templates including development test proofs and letter mapping templates are current and up to date including all associated metadata associated with the letter template.
  • Oversee completion of all Letter SharePoint workflows to ensure all new letters and revised letters changes receive the appropriate approval from both internal (GC and Compliance Mgt) and external stakeholders (i.e. Clients)
  • Responsible for providing information regarding adequate oversight of Professional Practices Management System (PPMS) documents,
  • Responsible for scheduling and compiling the PowerPoint decks for the monthly Business Review. Attend meetings as scribe.
  • Responsible for pulling compliance reports and dashboards for Compliance Management needed for Monthly Business Review Meeting deck for appropriate review and finalization by Business Owner (VPCPO, AVP, and QA Manager)
  • Responsible for providing support to Corporate Compliance Auditors (i.e. pulling data relevant to root cause analysis, monitoring and bonus information).
  • Responsible for assisting VPCPO and/or AVP (as needed) with miscellaneous reports or gathering records including annual ACA QMS Blueprint Renewal, PPMS documents for DDQ requests, or reports for various meetings.
  • Responsible for assisting with various reports and data for external audits, including client, state licensing, SOC I and II.
  • Document proposed advances or improvements for Compliance.
  • Documenting ConServe Service Improvements (CSI’s) upon completion.
  • Provide reporting of ConServe Service Improvements (CSI’s), upon request
  • Presentation of materials to management team and others.
  • Interaction with and assist other department managers and other department staff relating to ConServe’s PPMS and business processes.
  • Planning to complete variable workloads to approved deadlines.
  • Adherence to ConServe’s Professional Practices Management System (PPMS), Code of Conduct, and Compliance Program

Education:

  • Associate’s Degree or equivalent combination of education and related experience
  • Bachelor’s Degree preferred

Skills/Requirements:

  • Minimum One (1) year of Microsoft 365 experience: SharePoint, Teams, and OneDrive
  • Minimum Three (3) years of Microsoft 365 experience: SharePoint, Teams, and OneDrive preferred.
  • Minimum Three (3) years of Compliance related experience preferred
  • Must maintain a high level of professionalism dealing with confidential and proprietary information
  • Demonstrated detail organization
  • Demonstrated proficiency in MS Word, Excel, PowerPoint and e-mail
  • Demonstrated organizational skills
  • Demonstrated time management skills
  • Ability to multitask
  • Previous auditing and/or technical writing experience preferred
  • Excellent verbal and written communication skills
  • Ability to understand and comply with all ConServe policies and procedures
  • Statement on Standards for Attestation Engagements (SOC 1 Type 2 Audit), ISO 9001:2015, or other quality system familiarity preferred
  • US Citizen or Lawful Permanent Resident Alien with three or more years of Permanent Residency in the U.S.
  • Obtain and maintain Government Security Clearance
  • No conflicts of interest with ConServe or our Clients
