Essential Job Duties
We are seeking a collaborative and detail-oriented Maintenance Planner/Scheduler to play a key role in strengthening and advancing our preventive maintenance program. In this position, you'll have the opportunity to make a meaningful impact by coordinating maintenance activities across a varied campus environment, supporting critical operations, and contributing to long-term facility improvements.
This role is ideal for someone who enjoys problem-solving, working cross-functionally, and bringing structure and efficiency to complex systems. You'll partner closely with trade shops, project managers, and campus stakeholders to ensure maintenance work is planned, prioritized, and executed effectively. Along the way, you'll help drive continuous improvement in how we manage assets, track work, and deliver services.

Key responsibilities and duties include, but are not limited to:
  • Manage and process work orders, material requests, and procurement for maintenance operations.
  • Provide leadership and guidance to Journey and Contributing Planners.
  • Monitor and review budget accounts in Wolf Reports, offering recommendations for financial planning and expenditures.
  • Track and manage work order activity in AiM, ensuring accurate time tracking, billing, and status updates.
  • Utilize Word, Excel, and Access to create reports, documents, and spreadsheets for project tracking and planning.
  • Ensure the effectiveness of the work order management program by monitoring its progress and making necessary improvements.
  • Track equipment, materials, and costs for projects while ensuring accurate billing through the AiM system.
  • Coordinate with Project Managers, Shop Supervisors, and Building Liaisons to schedule system shutdowns and meet project deadlines.
  • Validate labor and material costs using AiM vendor contracts and university procurement resources.
  • Oversee safety and health training schedules for trade shop employees, ensuring compliance with Personal Protective Equipment (PPE) standards and university safety protocols.
  • Develop accurate estimates, create project timelines, and conduct inspections to ensure all work meets quality standards.
  • Safely use various types of ladders (including fixed, A-frame, step, and extension) to access elevated or below-grade work areas
  • Communicate effectively with supervisors, coworkers, and the general public, and follows verbal and written instructions related to work assignments and operational needs.
  • Perform lifting duties up to 30 pounds frequently and 60 pounds occasionally, with or without reasonable accommodations

Other Responsibilities
  • This position has been designated as essential personnel for the University and may be required to report to work during adverse weather conditions even though the University may be operating on an alternate schedule. This position may assist with snow and ice removal under the direction of a supervisor.
  • Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.

Qualifications
Minimum Experience/Education
Associate's Degree in the assigned discipline; or an equivalent combination of training and experience.
Some positions may require certification. All degrees must be received from appropriately accredited institutions.
Preferred Qualifications
  • Experience working in a commercial or university setting
  • Experience coordinating maintenance or construction activities across multiple stakeholders, including trade shops, project managers, and end users
  • Strong organizational and time management skills with the ability to prioritize competing demands and meet deadlines in a fast-paced environment
  • Ability to analyze data, track performance metrics, and use insights to improve processes and operational efficiency
  • Familiarity with budgeting, cost tracking, and financial reporting tools (e.g., Wolf Reports or similar systems)

  • Valid driver's license required.
  • Valid North Carolina driver's license is required within 60 days of hire and must be maintained.
