Position Purpose
Coordinates event operations for DCARD and third-party groups. This position leads the planning, preparation and facilitation of regular season and post-season competition for all varsity sports. This position will also serve as the primary event manager for multiple sports.
Description
As the Event Management and Operations Coordinator, you will work with the Athletics facilities team to execute varsity sport game management and to help coordinate events for our Athletics department as well as third-party rentals. Your work ensures that our varsity sports competitions, from regular season games to post-season championships, run smoothly and capture the attention of fans and audiences alike.
You will be involved with developing and implementing policies to ensure high-quality experiences for student and spectators at varsity athletics events; manage relationships with third-party vendors and event staffing companies and coordinate closely with head coaches to ensure proper facility and equipment setup. Additionally, handle on-site emergencies and assist with crowd control to maintain a safe and smooth event environment. You will also support our summer sports camps, working with coaches and directors to plan and schedule facilities, ensuring all contracts and documentation are finalized.
Required Qualifications - Education and Yrs Exp
Bachelors or equivalent combination of education and experience

  • At least two years of college athletics experience.
  • Excellent problem-solving skills.
  • Excellent verbal and written communication skills for constructive interaction with associates, assistants, coaches, department staff, student-athletes, administrators, etc.
  • Ability to exercise good judgment and work effectively in a fast-paced and complex work environment.
  • Strong planning and analytical skills.
  • Experience supervising, training or coordinating part-time staff, student workers or event personnel.

Preferred Qualifications
  • Working knowledge of NCAA rules.

Key Accountabilities
Description
Event Management
  • Serves as a primary event manager for multiple home contests.
  • Directs, supervises, and coordinates all facets of athletics event management with input from their supervisor(s) while overseeing event management staff.
  • Coordinates game day staff, including officials and coaches to ensure adequate personnel for game operations and to support visiting teams.
  • Facilitates the development and implementation of policies and procedures that contribute to high quality varsity athletics events for both the participants and the spectators.
  • Oversees assigning, hiring, and payment of personnel necessary for game management (i.e. game officials, announcers, clock operators, minor officials, ushers, student workers, etc.).
  • Works with head coaches to understand home events, needs and preferences.
  • Ensures proper facility and equipment set-up for events.
  • Assists the Facility & Events Coordinator to help execute special DCARD events.
  • Coordinate with event workers to ensure that their responsibilities are clear, and duties are being performed properly.
  • Handle any emergencies on-site (injury on field, weather issue), assist with crowd control (act as a liaison with Dartmouth Safety and Security and Hanover Police, when applicable) and troubleshoot.
  • Manages relationships with third parties and vendors (e.g. event staffing companies, campus police, emergency services, rental companies, etc.)
  • Works with the varsity scheduling committee to ensure compliance with Title IX as it relates to practice opportunities, game times, etc.
  • Assists the Assistant Athletic Director for Event Management and Operations with game contract creation and management.

Summer Camp Support
  • Serves as a member of the Camps and Clinics Committee to plan and schedule summer sport camps/clinics.
  • Works with Coaches/Assistant Athletics Director of Facilities and Compliance to ensure all contracts and documentation are finalized prior to camps/clinics start date.
  • Coordinates with approximately 20 summer camp directors to identify and schedule facility's needs (including rain sites) and identifies and schedules camp set-ups.
  • Identifies work requirements and oversees the representatives regarding special needs.
  • Develops, implements, and enforces observance of operating policies and procedures.
