POSITION SUMMARY:
The Events Coordinator will serve as the liaison to clients/rights holders/promoters during rentals, concerts, and non-athletic events. This role will work closely with internal departments to successfully accomplish these responsibilities.
PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
  • Assist in the coordination of the operational aspects of events, athletic events and non-athletic events, sports and non-sports events, and concerts throughout entire complex
  • Communication with clients throughout every aspect of an event/program/rental
  • Assists in helping manage sponsor deliverables relative to events that we host
  • Develop and monitor event timelines, help secure entertainment & vendors for the events and work with Event Staff and stakeholders to ensure deadlines are met
  • Help coordinate the timing of event changeovers with the Operations Team
  • Assists with maintaining and controlling inventory of supplies and/or equipment used for events
  • When requested, assists with/recommends hiring decisions; and performs training, scheduling, and supervision of facility operations Team Members
  • Performing the role of Manager on Duty (MOD) when scheduled
  • Requesting, coordinating, and executing event-day cleaning duties as needed
  • Executing venue setup and tear-down duties as needed
  • Providing premier customer service to all stakeholders by responding to requests in a timely and professional manner
  • Ensuring guest satisfaction at an excellent level/standard
  • Helping execute various small-and large-scale sporting events for the facility
  • Strong knowledge of audio/visual set up and operation
  • All additional duties assigned by management

THE IDEAL CANDIDATE HAS:
  • Experience in managing staff to effectively execute a successful event
  • 1-3 years' experience in event management is preferred
  • Proven success in managing multiple events at one time
  • Knowledge of sound, lighting, and video operation
  • Knowledge of supervisory principles, with an emphasis on working with and training part-time operations Team Members
  • Experience and success in customer service, leadership, and organization
  • Action-oriented personality with a 'get it done' attitude and proficiency for efficiency
  • Bachelor's degree in marketing, hospitality, event planning, or related field is preferred

MINIMUM QUALIFICATIONS:
  • Flexible work schedule (e.g., nights, weekends, holidays, and long hours) and regular attendance necessary; nights & weekends are required for this position
  • Excellent communication skills, both verbal and written
  • Ability to maintain focus in a high-volume, fast-paced environment
  • Must have excellent guest service skills
  • Must be detail-oriented and have outstanding organizational skills
  • Ability to multi-task and prioritize
  • Ability to remain calm and focused in difficult and stressful situations
  • Must be respectful and friendly to clients, members, guests, visitors, and Team Members
