Job description

Position Summary

The NSC Administrative Assistant provides comprehensive administrative, operational, and customer service support for the National Shooting Complex. This position is responsible for coordinating daily business activities, supporting shooting events, managing retail operations within the Pro Shop, maintaining member and customer records, and assisting with facility rentals and vendor coordination. The role requires strong organizational skills, attention to detail, and the ability to provide exceptional service to NSC members, guests, vendors, and event participants.

Essential Duties and Responsibilities

Administrative & Customer Service Support

  • Provide administrative support to the NSC Director and NSC operations.
  • Serve as a primary point of contact for members, guests, vendors, and event participants.
  • Maintain accurate records and databases, including NSC member information.
  • Support NSSA-NSCA departments and initiatives as needed.
  • Assist with general office duties, correspondence, filing, and reporting.

Event Coordination & Operations

  • Coordinate and assist with fundraising events and corporate shoots.
  • Support event setup, participant registration, squadding, and scoring activities.
  • Assist with scheduling and operational logistics for shooting events.
  • Ensure efficient communication with participants, vendors, and staff regarding event details.

Retail & Pro Shop Operations

  • Manage daily Pro Shop operations, including customer transactions and cashier duties.
  • Process payments for events, memberships, open shooting, rentals, and merchandise sales.
  • Monitor inventory levels and order merchandise as needed.
  • Maintain organized retail displays and ensure a positive customer shopping experience.

Facility & Rental Coordination

  • Coordinate RV reservations and related customer services.
  • Manage portable vendor arrangements and communications.
  • Oversee golf cart rentals and cart storage operations.
  • Ensure rental records and payments are maintained accurately.

 

 Qualifications

  • High school diploma or equivalent required
  • Minimum of 2 years of administrative, retail, hospitality, or customer service experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and database management systems.
  • Ability to handle cash transactions accurately and responsibly.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with event coordination or recreational facilities is a plus.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Ability to lift and carry up to 25 pounds occasionally.
  • Ability to work indoors and outdoors during events as needed.

Work Schedule

This position requires frequent weekend work and extended hours, particularly during tournaments, special events, and peak operational periods. Evening and holiday work may also be required based on business needs.

The NSSA/NSCA are dedicated to the development of the sport at all levels of participation and vows to create an atmosphere of healthy competition and meaningful fellowship within its membership. Shooters who want to compete can enter fun shoots, skeet shooting tournaments, and sporting clays tournaments. The NSSA/NSCA also offers the hunter a recreational target shooting sport that will strengthen hunting and gun safety skills and extend “hunting” seasons.
