Accounts Payable / Accounts Receivable Specialist

Reports To: Finance Director

Location: National Shooting Complex

Position Summary

The National Skeet Shooting Association (NSSA) and its subsidiary, the National Sporting Clays Association (NSCA), are seeking an experienced Accounts Payable / Accounts Receivable Specialist to join our Accounting Department.
Located at the National Shooting Complex in Far West San Antonio, our organization hosts nationally recognized events, including the World Skeet Championships and the National Sporting Clays Championship. This position plays a vital role in maintaining accurate financial records, supporting organizational operations, and delivering excellent customer service to members, vendors, sponsors, and internal staff.

Essential Duties & Responsibilities

Accounts Payable

· Review, verify, code, and enter vendor invoices.

· Match invoices to purchase orders and supporting documentation.

· Process weekly check runs, ACH payments, and electronic payments.

· Maintain vendor files, W-9 documentation, and payment records.

· Resolve invoice discrepancies and vendor inquiries.

· Monitor vendor statements and outstanding balances.

· Ensure compliance with purchasing and internal control procedures.

Accounts Receivable

· Prepare and distribute invoices.

· Receive and accurately post customer payments.

· Process credit card, ACH, cash, and check payments.

· Monitor aging reports and assist with collections.

· Maintain customer account records.

· Respond to member and customer billing questions.

· Process refunds and approved account adjustments.

Cash Management

· Reconcile merchant service batches and credit card settlements.

· Assist with bank account reconciliations.

· Monitor incoming electronic payments.

· Maintain documentation for all cash receipts.

Event & Membership Accounting

· Assist with event registration reconciliation.

· Process membership dues and renewals.

· Support accounting for tournaments and championship events.

· Assist with sponsor and vendor billing.

· Reconcile event revenues with operational reports.

· Assist with inventory and consignment billing as needed.

General Accounting

· Assist with monthly and year-end closing procedures.

· Prepare journal entries as assigned.

· Reconcile balance sheet accounts.

· Maintain supporting schedules.

· Organize financial documentation for annual audits.

· Assist with budget tracking and reporting.

Administrative Support

· Answer accounting-related inquiries professionally.

· Work collaboratively with all departments.

· Provide exceptional customer service.

· Cross-train within the Accounting Department.

· Assist with special projects and process improvements.

· Perform other duties as assigned.

Qualifications

· Strong understanding of AP/AR processes and general accounting principles.

· Excellent attention to detail and organizational skills.

· Strong analytical, communication, and customer service skills.

· Ability to prioritize multiple projects and maintain confidentiality.

· Proficiency with Microsoft Excel, Word, Outlook, and Adobe Acrobat.

· QuickBooks Enterprise experience preferred.

Education & Experience

· Associate degree in Accounting, Finance, Business, or related field preferred.

· Minimum of three (3) years of accounting experience with emphasis in AP/AR.

· Nonprofit accounting experience preferred.

· Experience with high-volume transaction processing is a plus.

Physical Requirements

· Ability to sit for extended periods while working at a computer.

· Occasionally lift up to 25 pounds.

· Ability to move throughout the office and event grounds during major events.

Work Schedule

Due to the nature of our championship events, occasional evening and weekend work may be required throughout the year.

The National Skeet Shooting Association (NSSA), established in 1928, is a non-profit organization governed by its members. In 1989, the National Sporting Clays Association (NSCA) was created as a division of the NSSA. With approximately 45,000 members and 700 affiliated member clubs, it is the largest organization in the world dedicated solely to the sport of clay target shotgun shooting. The NSSA/NSCA are dedicated to the development of the sport at all levels of participation and vows to create an atmosphere of healthy competition and meaningful fellowship within its membership. Shooters who want to compete can enter fun shoots, skeet shooting tournaments, and sporting clays tournaments. The NSSA/NSCA also offers the hunter a recreational target shooting sport that will strengthen hunting and gun safety skills and extend “hunting” seasons.
