Job description

JOB SUMMARY:   Responsible for space planning, workplace design, and portfolio analytics across GardaWorld business units (Cash, U.S./International Securities, ECAM, Crisis24, BEST, etc.). Supports efficient space utilization, occupancy planning, and workplace strategy while coordinating with Project Managers and external partners.

WORK SCHEDULE: Variable days and hours based on each assignment and work activities. Overtime, weekend, and holiday work may be required. On call for emergencies, 24 hours, 7 days a week.

TRAVEL REQUIRED: Yes, via automobile to most locations. Airline flights as needed.

JOB DUTIES:

  • Develop test fits, blocking plans, and space layouts for offices, branches, and specialized facilities
  • Translate business requirements into efficient, functional space plans aligned with operational needs
  • Optimize space utilization, adjacencies, and workflow (including secure areas, and operational zones)
  • Support development of workplace standards and space guidelines across the portfolio
  • Partner with business units to understand headcount projections, operational needs, and space requirements
  • Conduct space needs assessments, occupancy planning, and capacity analysis
  • Document detailed program requirements for use by architects and project teams
  • Align planning with future growth, consolidation opportunities, and cost optimization initiatives
  • Maintain and track space utilization metrics, headcount data, and occupancy ratios
  • Analyze portfolio performance to identify opportunities for consolidation, densification, or reconfiguration
  • Support scenario planning (e.g., restacks, expansions, relocations) with data-driven insights
  • Assist in long-range portfolio planning and capital forecasting
  • Coordinate with architects, designers, and project teams (including JLL) to translate test fits into construction drawings
  • Review design documents to ensure alignment with approved space plans and operational requirements
  • Provide input during design development to maintain efficiency and cost control
  • Partner with Project Managers to ensure space plans are executed accurately during construction
  • Assist with design-related RFIs, layout adjustments, and field coordination as needed
  • Support move planning, seating assignments, and occupancy readiness

QUALIFICATIONS: 

  • Bachelor's degree in architecture, Interior Design, Facilities Planning or related field
  • 5–7+ years of experience in space planning, workplace strategy, or corporate real estate environments
  • Experience supporting office, industrial, or operational facilities (experience with security or mission-critical environments is a plus)
  • Experience working in multi-site, multi-region portfolios (U.S. and/or Canada preferred
  • Strong knowledge of commercial leasing, building codes, regulations, and safety standards.
  • Excellent communication skills and ability to lead cross-functional teams.
  • Proficiency in space planning and design tools (AutoCAD required; Revit, SketchUp, or similar preferred)
  • Strong skills in Microsoft Excel (space utilization tracking, headcount analysis, scenario modeling)
  • Experience with space management or IWMS platforms (e.g., Archibus, Tririga, or similar) preferred
  • Ability to create test fits, stacking plans, and occupancy diagrams
  • Familiarity with reading and interpreting architectural drawings and construction documents
