Job description

Job Summary
The Spa Coordinator serves as the first point of contact for spa guests, managing appointment scheduling, front desk operations, and administrative support to ensure a seamless and relaxing guest experience from booking through checkout.
PART-TIME
Essential Duties & Responsibilities
  • Greet spa guests warmly and check them in and out for appointments
  • Schedule, confirm, and manage spa appointments via phone, email, and in person
  • Answer phone and email inquiries regarding spa services, pricing, and availability
  • Process payments, gratuities, and retail sales transactions accurately
  • Coordinate appointment timing with Massage Therapists, Estheticians, and other spa staff
  • Maintain cleanliness and organization of the spa reception and relaxation areas
  • Promote spa packages, memberships, and retail products to guests
  • Maintain accurate guest records and handle confidential health intake forms appropriately
  • Communicate schedule changes, cancellations, and special requests to spa staff
  • Assist with inventory tracking and ordering of retail and spa supplies

Qualifications
  • High school diploma or equivalent required
  • 1-2 years of experience in a spa, salon, or hospitality front desk role preferred
  • Strong customer service, communication, and multitasking skills
  • Proficiency with spa scheduling software (e.g., Book4Time, SpaSoft) and Microsoft Office a plus
  • Professional, calm demeanor suited to a relaxation-focused environment
  • Ability to work flexible shifts, including mornings, evenings, weekends, and holidays

Physical Demands
  • Ability to sit or stand for extended periods at the front desk
  • Occasional lifting of up to 20 lbs (retail stock, supplies)
  • Manual dexterity for computer, phone, and POS operation
  • Ability to move throughout the spa to coordinate with staff and guests
