Job description

POSITION SUMMARY:
The Spa Coordinator is responsible for overseeing all aspects of the Spa reservations, check-in, and check-out experience to ensure the highest levels of service and standards for our Membership. The Spa Coordinator is responsible for helping ensure a memorable experience in the Spa. This includes greeting Members & guests as they enter the facilities, orientating guests to the spa facilities, and providing personal Member services. This position helps ensure that therapist schedules are maintained, appointments are scheduled appropriately, emails and calls are returned timely, and members are billed accurately. The Spa Coordinator oversees the Spa retail outlet, charging members for purchases, replenishing inventory, and assisting with inventory control. Cleanliness and organization are a crucial part of maintaining a tranquil Spa environment. The Spa Coordinator works with housekeeping and maintenance to maintain and ensure immaculate Spa Boutique, Relaxation Lounge, and restroom facilities for our Membership and their guests. The position also formulates partnerships across the Men's' and Ladies' Locker Rooms to ensure a seamless amenity experience. This part-time placement has the potential to grow into a year round position.
ESSENTIAL JOB RESPONSIBILITIES:
  • Must be available Thursday - Sunday
  • Maintains a professional presence on the Spa front desk - answering the phone, responding to emails, and coordinating appointments for spa treatments in a prompt, polite, and helpful manner.
  • Works with therapists to ensure that schedules are accurate, and appointments are booked correctly for billing.
  • Acts as the ambassador of the Spa, greeting and welcoming all members and guests by name. Ensure each Spa visitor is acclimated to the standards of spa use and facilities.
  • Confidently explains treatments offered on Spa menu and assists members with book service(s) to best meet their individual needs.
  • Completely follows opening and closing checklist procedures to ensure that the Spa is open and ready for the first treatment of the day and closed properly at end of day.
  • Maintains all Spa public areas; ensuring immaculate cleanliness/sanitation, amenities are organized, dusted, and well stocked.
  • Monitors the entire Spa facility with thorough walkthroughs every 30-minutes from opening until end of day.
  • Daily oversight of the retail outlet to present an inviting area for members and guests to shop. Discuss items of interest with members and guests encouraging them to browse and purchase. Process all sales in Jonas POS accurately and timely.
  • Assist with daily retail tasks including unpacking, steaming & stickering inventory. Re-merchandising the boutique in line with our spa boutique merchandising guidelines.
  • Attends trainings and seeks product knowledge for products used in treatments and sold in the Spa.
  • Works to resolve member complaints - communicates service opportunities with Spa Director.
  • Communicates next day bookings nightly with Spa team members scheduled the following day.
  • Ensures all treatments are charged out, Jonas is properly closed, and paperwork submitted to accounting at the end of each shift.
  • Oversees other duties as assigned.

KNOWLEDGE AND SKILLS QUALIFICATIONS:

Physical requirements: (with or without accomodations)
  • Ability to lift up-to 20lbs.
  • Ability to lift, carry, push, pull, kneel, stand, twist, sit, and walk throughout the day.
  • Ability to stand/ walk for up to 5 hours at a time.
  • Ability to twist, kneel, bend repeatedly when moving inventory, assisting members, and during site clean-up.

EDUCATION, EXPERIENCE, CERTIFICATIONS, AND LICENSES:
  • Minimum of two years of customer service experience.
  • Retail experience preferred

WAGE RANGE: $23 per hour
