Job description

POSITION: Event Coordinator - Full-Time, Salaried
REPORTS TO: Director of Events
LOCATION: Soldier Field

POSITION SUMMARY

Legends Global has an immediate opening for a full-time, salaried Event Coordinator at Soldier Field. The Event Coordinator supports the planning and execution of events, coordinating with clients, facility departments, vendors, contractors, and event staff to ensure successful event operations and exceptional client service.

The ideal candidate is organized, detail-oriented, professional, and able to manage multiple events and priorities in a fast-paced stadium environment. This position requires flexibility to workdays, evenings, weekends, holidays, and extended hours based on the event schedule.

ESSENTIAL DUTIES

Includes the following; other duties may be assigned:

  • Coordinates the planning, execution, and follow-up of events at Soldier Field.

  • Serves as a primary liaison between clients, facility departments, vendors, contractors, and event staff.

  • Communicates event timelines, requirements, deadlines, and operational details to clients and internal departments.

  • Coordinates event setups, staffing, equipment, parking, credentials, and other operational needs.

  • Monitors event setups and event-day operations to ensure events are executed successfully.

  • Maintains communication with clients throughout the event planning and execution process and addresses requests or concerns as needed.

  • Serves as Manager on Duty for designated events and provides operational oversight.

  • Assists with event staff training, onboarding, and event-day communications.

  • Maintains event documentation and assists with administrative responsibilities.

  • Assists with guest experience initiatives, including suites and premium areas, as assigned.

  • Supports the Director of Events with special projects and other event-related initiatives.

  • Maintains professional relationships with clients, vendors, contractors, employees, and facility partners.

  • Performs other duties as assigned by the Director of Events or facility leadership.

QUALIFICATIONS

  • Bachelor's Diploma or equivalent

  • 2-3 years of experience in event coordination, hospitality, facility operations, or a related field.

  • Strong organizational, communication, and customer service skills.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Proficiency with Microsoft Office

  • Ability to work evenings, weekends, holidays, and extended event hours as needed.

  • Ability to work effectively with clients, vendors, contractors, and internal departments.

PREFFERED QUALIFICATIONS

  • Bachelor's degree in Event Management, Hospitality, Sports Management, Business, or related field.

  • Experience in a stadium, arena, sports, entertainment, or large-scale event environment.

  • Experience coordinating events from planning through execution.

  • Previous supervisory or lead experience.

  • Familiarity with the Infor system and Social Tables for creating event diagrams and layouts.

SALARY RANGE: $55,000 - $65,000

The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this position. The employee may be required to work both indoors and outdoors, including in inclement weather conditions. The employee must be able to lift and carry up to 50 pounds and have the physical ability to maneuver throughout the facility, including walking and/or standing for extended periods of time, which may be up to 10 hours or more in a day.
