Job description

Position: Project Admin - Engineering & Construction Projects
Location: Hybrid - Denver, CO | Minneapolis, MN | Amarillo, TX
Schedule: Full-Time | Hybrid (Onsite Tuesday-Thursday, Remote Monday & Friday as business needs permit)
Hourly Pay Rate: $29.00/hr.
Duration: 12-Month Contract with Strong Potential for Extension and Conversion
System One is seeking a highly organized and detail-oriented Project Admin to support a Strategic Projects Group responsible for major energy infrastructure and capital projects. This role will provide project coordination support for new build projects, including renewable energy projects, wind farms, solar projects, repower initiatives, substations, transmission projects, and other large-scale capital programs.
Most projects supported by this team are valued at $15M+ and require strong coordination, document management, and communication skills to ensure project deliverables are completed accurately and on schedule.
Responsibilities
The Project Admin will be responsible for managing project documentation, coordinating engineering deliverables, and supporting project teams throughout the lifecycle of major construction and infrastructure projects.
Key responsibilities include:
  • Process and coordinate engineering drawings, RFI submittals, and project documentation.
  • Manage document workflows, approvals, and project deadlines.
  • Maintain tracking logs for document submissions, reviews, and required actions.
  • Monitor shared project email inboxes and coordinate responses.
  • Route drawings and documentation to project stakeholders for review and approval.
  • Follow up with team members to ensure approvals are completed by required deadlines.
  • Maintain electronic and physical project document libraries.
  • Review documents for accuracy, completeness, and quality.
  • Modify and manage PDF documents using tools such as Bluebeam, Adobe Acrobat Pro, and ProjectWise.
  • Prepare large-format drawing packages and project documentation for construction teams.
  • Print, organize, bind, and package drawings and project documents for shipment to field locations.
  • Support project managers, engineers, construction teams, and suppliers with documentation needs.
  • Assist with multiple projects while maintaining strong attention to detail and organization.

A typical day will include a combination of administrative coordination, document management, and hands-on project support.
Daily activities may include:
  • Reviewing and responding to project-related emails.
  • Tracking document submissions and outstanding approvals.
  • Coordinating drawing reviews with engineers and project stakeholders.
  • Updating project tracking tools and documentation logs.
  • Preparing large drawing sets and project packages.
  • Working with project teams to ensure deadlines are met.
  • Supporting construction and engineering teams with required documentation.

This position provides a balance between desk-based coordination and hands-on tasks such as preparing printed drawing packages and project materials.
Required Qualifications
  • 2-4 years of experience in a professional administrative, project coordination, or document control environment.
  • Experience managing technical documentation, drawings, or project files.
  • Strong attention to detail and ability to perform quality checks on documents.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency with Microsoft Office Suite, including:
    • Outlook
    • Teams
    • SharePoint
    • OneNote

Preferred Qualifications
  • Experience supporting engineering, construction, utility, renewable energy, or infrastructure projects.
  • Experience with:
    • ProjectWise
    • Bluebeam
    • Adobe Acrobat Pro
    • PDF editing and document management systems
  • Previous experience working with large construction or engineering organizations.
  • Background supporting document control or project administration functions.
