Position Overview

FINNMARK is looking for a proactive and highly organized Office Manager to oversee office operations, support the employee experience, and coordinate key companywide programs and initiatives. This role is ideal for someone who takes initiative, enjoys solving problems, and thrives on bringing people, processes, and priorities together to keep an organization running smoothly.

Key Responsibilities


  • Oversee daily office operations, including facilities, supplies, vendors, equipment, and executive support, while fostering a positive workplace culture and ensuring employees feel supported and connected.
  • Supervise and support the Administrative Coordinator through training, guidance, and day-to-day coordination.
  • Manage employee recruitment, hiring, onboarding, orientation, and offboarding processes.
  • Administer employee benefits, leave programs, business insurance, licenses, and related renewals and compliance requirements.
  • Coordinate companywide programs and projects, including fleet, mobile devices, company assets, keys and security systems, software licenses, IT services, and employee training.
  • Serve as a central resource for internal communication, office policies, employee inquiries, and cross-department coordination.
  • Support employee engagement initiatives, company events, recognition programs, newsletters, and all-staff meetings.
  • Manage office-related budgets, expenses, purchasing, forecasting, and cost-saving opportunities.
  • Identify and implement process improvements that increase efficiency, organization, and consistency across the company.
  • Maintain accurate and confidential employee and company records.
  • Prepare reports, presentations, procedures, and other documentation as needed.


Qualifications

  • 3+ years of experience in office management, administration, operations, human resources, or a related field.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills with a professional and approachable demeanor.
  • Demonstrated ability to take initiative, solve problems, and work independently with sound judgment.
  • Strong interpersonal skills and the ability to build positive relationships across departments and locations.
  • Experience supporting employee lifecycle processes, including recruiting, onboarding, benefits, and offboarding preferred.
  • Experience coordinating vendors, facilities, office services, and company resources.
  • Strong project management skills with the ability to coordinate multiple companywide initiatives from start to finish.
  • Proficiency with Microsoft Office and other business software and systems.
  • High level of attention to detail, accuracy, confidentiality, and follow-through.
  • Ability to handle sensitive employee and company information with discretion and professionalism.
  • Commitment to fostering a positive, collaborative workplace culture and supporting an exceptional employee experience.
  • Bilingual (English/Spanish) a plus.
