Job description

Position Summary:
The Implementation Project Coordinator (IPC) partners closely with Implementation Managers to support the successful delivery of client implementation projects. This role serves as a key liaison between clients and internal teams by coordinating implementation activities, documenting business requirements, assisting in translating client needs into technical specifications, and helping ensure project deliverables are completed in accordance with established timelines and processes.
The IPC develops a strong understanding of Synergistix products, implementation methodologies, and client business processes while gaining hands-on experience managing project activities and stakeholder communications.

Essential Duties & Responsibilities:
  • Support Implementation Managers in the planning, execution, and delivery of client implementation projects.
  • Monitor assigned project tasks and proactively follow up with internal stakeholders to help keep implementation activities on schedule.
  • Prepare and maintain implementation documentation, meeting notes, decision logs, and action item trackers.
  • Track project progress and provide timely status updates to internal stakeholders and clients.
  • Coordinate project activities across cross-functional teams, including Data Operations, Configuration, Development, and Product teams.
  • Gather and document business requirements and assist in translating them into clear functional and technical requirements.
  • Create detailed support tickets, configuration requests, and assist with drafting development specifications for internal teams.
  • Document business processes, workflows, and configuration requirements to support implementation activities.
  • Ensure project documentation is complete, accurate, and maintained according to departmental standards.
  • Support accurate and timely project billing and processing.
  • Coordinate with external training instructors and track training costs against budget.
  • Run data analysis on client data files to check for data integrity and adherence to documented data formats.
  • Create configuration workbooks to document the design and development of implementation projects.
  • Participate in client implementation meetings by documenting business requirements, capturing action items, providing meeting follow-up, and supporting implementation communications.
  • Identify opportunities to improve implementation processes, documentation standards, and project coordination practices.
  • Flexible to travel up to 20% of the time to provide onsite support.
  • Other duties and/or special projects as assigned.

Education, Experience and Technical Skills:
  • Bachelor’s degree in business management, project management or other related fields, and/or equivalent work experience required.
  • Prior experience working at a software development company in a support role.
  • Demonstrated ability to document business requirements with clarity and attention to detail.
  • Ability to understand technical concepts and communicate effectively with both business and technical stakeholders.
  • Experience working within the pharmaceutical, healthcare or life sciences industry strongly preferred.
  • Proficient in MS Office including Word, Excel, PowerPoint, Visio and Project.
  • Ability to coordinate and support project activities.
  • Strong understanding of business software.
  • Proven experience in project management tools and software
  • Proven ability learn and navigate complex business software applications
  • Project Management experience strongly desired.
