Job description

Greenhouse Implementation Project Manager (Short-term Contract)


Castelion is seeking an experienced Greenhouse Implementation Project Manager to lead the migration, configuration, and rollout of Greenhouse as our Applicant Tracking System. This is a short-term contract opportunity for someone who has successfully implemented Greenhouse and can drive the project from kickoff through launch while partnering closely with Recruiting, People Operations, Hiring Managers, and Greenhouse's implementation team.


The ideal candidate combines strong project management skills with deep knowledge of recruiting operations, ATS best practices, reporting, workflows, and change management.


Responsibilities


  • Serve as the primary project manager for Castelion's Greenhouse implementation.
  • Partner with Greenhouse implementation consultants and internal stakeholders to ensure a successful deployment.
  • Lead project planning, timeline management, stakeholder communication, and risk mitigation.
  • Configure recruiting workflows, interview plans, scorecards, approvals, permissions, and reporting structures.
  • Manage data migration activities and ensure data integrity throughout the implementation process.
  • Identify opportunities to improve recruiting processes and leverage Greenhouse best practices.
  • Coordinate integrations with third-party recruiting and HR systems.
  • Develop training materials and conduct end-user training sessions for recruiters, coordinators, hiring managers, and interviewers.
  • Drive adoption and ensure stakeholders are prepared for launch.
  • Support post-launch stabilization and optimization efforts.


Basic Qualifications


  • Prior experience leading at least one full Greenhouse implementation.
  • Strong understanding of recruiting operations and talent acquisition processes.
  • Experience with ATS migrations, system configuration, and implementation project management.
  • Exceptional organizational and communication skills.
  • Ability to manage multiple stakeholders and drive accountability across teams.
  • Experience working with high-growth startups or scaling organizations preferred.
  • Familiarity with reporting, recruiting analytics, and recruiting process design.
