POSITION SUMMARY:
The Development Coordinator serves as the local, on-the-ground Resource Development professional responsible for implementing fundraising, special event, donor stewardship, and marketing strategies established in partnership with BGCTM's Reno Resource Development leadership team and the Area Director. This position brings organization-wide Resource Development strategy to life at the local level by coordinating day-to-day communications, executing fundraising events, supporting donor stewardship, developing local marketing materials using approved templates and schedules, and providing timely fundraising and marketing reporting. The Development Coordinator works within established BGCTM processes, templates, brand standards, budgets, timelines, and fundraising goals while using their knowledge of the local community to successfully execute these efforts. The position will receive training and ongoing support from Reno Resource Development leadership and will have access, as appropriate, to tools including Canva, local social media accounts, Constant Contact, and eventually ClubHub donor reporting and tracking resources.
ESSENTIAL FUNCTIONS:
Resource Development & Donor Stewardship
  • Serve as the local point person for the day-to-day execution of Resource Development initiatives and fundraising strategies established in partnership with the Area Director and Reno Resource Development leadership team.
  • Support the Area Director and local Board with donor stewardship, donor communication, prospect engagement, sponsorship follow-up, and relationship-building activities.
  • Assist with identifying and cultivating local donors and prospects, with the opportunity to eventually develop and manage an assigned portfolio of donor relationships in coordination with Reno Resource Development leadership.
  • Facilitate donation acknowledgement letters for the Area Director to review and sign, using approved templates and local Board letterhead. Coordinate printing and mailing; donation entry, gift processing, and official donor database records remain the responsibility of the Reno Director of Donor Database.
  • Following fundraising events, coordinate timely thank-you letters and communications to event participants, sponsors, auction donors, volunteers, and other supporters using messaging reviewed and approved by the Reno Special Events Director.
  • Respond to local donor inquiries and appropriately connect donors with the Area Director or Reno Resource Development staff when additional follow-up is needed.
  • Following training and authorization, utilize ClubHub to access donor reports, Board reports, donor history, and other approved donor-tracking resources.

Special Events & Fundraising
  • Serve as the primary local coordinator responsible for executing BGCTM fundraising events within the assigned community.
  • Work closely with the Reno Special Events Director and Area Director to implement event strategy, timelines, themes, processes, and fundraising goals established by BGCTM leadership.
  • Develop event budgets based on fundraising and net-revenue goals established with Reno Resource Development leadership, using approved BGCTM budget templates and processes.
  • Work closely with the Reno Special Events Director to track event revenue, expenses, sponsorships, auction performance, registrations, and other key event metrics, and provide regular updates on event performance to the Area Director and local Board.
  • Manage day-to-day local event execution, including sponsorship fulfillment, auction procurement, auction basket creation, auction item descriptions, volunteer coordination, event materials, vendor coordination, guest communications, and other event logistics.
  • Solicit and collect local auction items, in-kind donations, sponsorship materials, and other event resources in coordination with the Area Director, Board, and Reno Resource Development team.
  • Coordinate local fundraising and event volunteers and provide clear assignments, timelines, and expectations.
  • Complete post-event reconciliation, reporting, acknowledgement, and follow-up responsibilities in coordination with Reno Resource Development staff.

Marketing & Communications
  • Manage day-to-day local communications in alignment with BGCTM's organization-wide marketing strategy, brand standards, and content direction established by the Reno Marketing team.
  • Following training by Reno Resource Development leadership, utilize approved platforms including Canva, Constant Contact, and designated social media accounts to execute local communications.
  • Create local flyers, social media graphics, event materials, email communications, and other collateral using BGCTM-approved templates and brand standards provided by the Reno Marketing team.
  • Implement social media content according to schedules, campaigns, messaging priorities, and guidelines established by the Reno Marketing Director, while identifying and providing locally relevant stories, photos, events, and content.
  • Produce and distribute a monthly local Club newsletter highlighting Club programs, youth impact, upcoming events, donor and sponsor recognition, community partnerships, and other relevant updates.
  • Coordinate with local staff to gather photos, stories, program highlights, event information, and other content needed to maintain consistent communication with donors, families, Board members, and community supporters.
  • Ensure all external communications appropriately represent the Boys & Girls Club of Truckee Meadows brand and follow established review and approval processes.

Reporting & Board Support
  • Prepare monthly Resource Development updates for the local Board, including fundraising performance, event revenue and expenses, sponsorship progress, marketing activity, donor stewardship efforts, and other relevant metrics.
  • Present Resource Development, event, and marketing updates during monthly Board meetings/calls.
  • Review planned Board presentations, fundraising results, and key messaging with the appropriate Reno Resource Development team member prior to presentation to ensure accuracy and alignment.
  • Support the Area Director in keeping Board members informed, engaged, and equipped to participate in fundraising, sponsorship development, donor stewardship, events, and community outreach.
  • Provide timely reports and information requested by the Area Director and Reno Resource Development leadership.

Coordination with Reno Resource Development
  • Participate in regular communication, training, and planning with Reno Resource Development leadership to ensure local activities align with organization-wide strategy and standards.
  • Follow the established Rural/Reno Resource Development Roles & Responsibilities Checklist, which identifies ownership, approval requirements, processes, and responsibilities between local staff and Reno Resource Development staff.
  • Utilize BGCTM-approved templates, systems, timelines, budgets, processes, and brand standards rather than independently developing separate systems or strategies.
  • Elevate fundraising opportunities, donor prospects, marketing needs, event challenges, and other Resource Development matters to the appropriate Reno team member when additional strategy, approval, or support is needed.
  • Maintain strong communication with Reno Resource Development leadership so local execution remains coordinated with BGCTM's broader fundraising, marketing, donor stewardship, and special event strategies.

CERTIFICATIONS/ASSOCIATIONS:

EDUCATION/EXPERIENCE:
  • High School Diploma or GED required.
  • Bachelor's degree or equivalent experience in a related field preferred.
  • 1 - 3 years of related events, marketing, or project management experience required, preferably in a non-profit setting.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
  • Must be able to perform duties which require walking, talking, hearing, standing, sitting, and/or bending for long periods of time. May occasionally be required to kneel, run and/or climb.
  • Must be able to use hands and arms to enter data into the computer, use the telephone and other office equipment.
  • Must be able to lift, move manipulate and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting or manipulating.
